Summary Statement

This role will be responsible for assisting and supporting the Sales management team with daily job responsibilities and tasks as provided by Managers and Director. Primary Job Duties includes, but is not limited to:

  • Support the Sales team with all daily tasks to assist with the departmental goals and objectives.
  • Maintain and manage sales system database.
  • Generate and amend sales contracts, addendums, and other sales documents.
  • Cook up and manage travel arrangements for management team, including but not limited to, organization of scheduling appointments, shipping marketing materials, and completing expense and post trip reports.
  • Cook up and effectively communicate pertinent Group & Event information and/or materials to appropriate departments in a timely manner.
  • Develop and maintain positive professional relationships with internal management and team members, as well as external partners and guests.
  • Aid the Sales team with coordinating and arranging customer interactions.
  • Provide excellent customer service to customers and clients on behalf of the Sales organization.
  • Effectively address stressful situations with poise, discretion, and kindness.
  • Provide Sales team with clerical and administrative support, including emailing, answering phones, and performing all other general office duties.
  • Aid the Sales team with coordinating and arranging client reservations, gifts, certificate creation and redemption, amenity requests, and travel collateral.
  • Process requests as needed by Manager or Director.
  • Obtain and maintain position-specific licensing.

Qualifications

Includes but is not limited to:

  • Proficient in Microsoft Applications (Outlook, Word, Excel, PowerPoint), Delphi and Opera.
  • Excellent written and verbal communication skills presenting information clearly.
  • Excellent Customer Service Skills.
  • Ability to work varied shifts, including nights, weekends and holidays.
  • Preferred at least one year of experience in 5-star/luxury, hotel sales or hotel operations.
  • Previous experience working in a large, luxury resort setting.
  • Minimum Education and Experience: High School Diploma or equivalent. Minimum two years' experience in Hotel Sales or related field.
  • Certificates, Licenses, Regulations: Proof of eligibility to work in the United States.

Must be tolerant to varying conditions of noise level, temperature, illumination and air quality. Prolonged sitting/standing. Bending and reaching. Transporting, pushing, pulling, lifting and maneuvering items weighing up to 20 lbs. Eye/hand coordination. Ability to comply with Policies and Procedures, Job Description, daily memorandums, chemical labels (SDS) and other instructions.
