Job Overview
Perform duties to process and deliver all Estoppels/Planned Unit Development (PUD) certificates as it relates to Accounts Receivable, within the limits of standard or accepted practice.
Responsibilities
- Review, manage and monitor workflow queues within the approved systems relating to Estoppels/ Mortgage PUD certificates.
- Work with the property teams on PUD questions that have not been updated or completed in order to complete accurate questionnaires.
- Process all manual Mortgage PUD orders and ensure the accuracy of lender forms.
- Process ownership and address changes as notifications of closings are received. Submit new resident mailings/coupons when notification of closings is received.
- Process charges and post payments related to closings per the closing documentation and association requirements.
- Prepare check requests when funds need to be moved.
- Maintain and process records relating to property turnovers and set-up the system platform.
- Aid in the sorting and distribution of department mail using approved guidelines.
- Maintain FirstService Residential documents and forms relating to the Resale Package.
- Communicate inefficiencies, issues, or improvements necessary to management.
- Assist with any necessary training as requested.

- Notify supervision of unusual equipment or operating problems and the need for additional material and supplies.
- May participate in any variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, policies, and regulatory guidelines.
- Ensure all safety precautions are followed while performing the work.
- Follow all policies and Standard Operating Procedures as instructed by Management.
- Perform any range of special projects, tasks and other related duties as assigned.
- Ability to work in a team environment as well as independently and be self-driven.
