Job Duties
- Administrative Responsibilities (20%)
- Performs data entry, patient tracking, and maintenance of internal databases guided by existing protocols.
- Maintains stock of testing kits, patient handouts, and other supplies.
- Affords assistance to genetic counselors in processing follow-up letters for patients and clinicians; mails and/or faxes follow-up documentation to patients and outside referring providers.
- Affords assistance in additional clinical and patient tasks on an as-need basis, under genetic counselor/physician guidance.
- Provides education to other healthcare providers regarding the genetic testing process and related policies within the division or hospital.
- Affords assistance in collecting, packaging and shipping clinical testing specimens.
- Clinical Responsibilities (70%)
- Obtains complete and detailed information from callers to the clinic offices including new patients, established patients, and referring providers.
- Collections necessary records such as previous genetic testing, medical records, family history, and HIPAA authorizations in advance of patient appointments.
- Completes genetic testing requisition forms, including contacting laboratories to determine necessary requirements for specific genetic tests; assigns diagnosis and procedure codes to ensure accurate billing.
- Affords assistance in scheduling appointments and for subsequent appointments for family members.
- Affords assistance in processing letters of medical necessity and related documentation with guidance from the genetic counselor for insurance pre-authorization and appeals; tracks the pre-authorization process.
- Affords assistance in completing administrative calls to patients, healthcare providers, and genetic testing laboratories.
- Interacts with families to discuss the genetic testing pre-authorization process.
- Tracks the status of ongoing communication with clinical laboratories related to coverage and progress of genetic testing; tracks incoming genetic testing reports and communicates results to genetic counselors.
- Navigates electronic health records and clinical databases to obtain clinic notes and family history information to satisfy insurance authorization requests.
- Attends or observes in clinic as needed to assist genetic counselors in clinic-related tasks.
- Participates in planning meetings relevant to the genetic counseling processes and workflow.
- Interacts with faculty, staff, and students to promote the goals and objectives of the Genetics or Maternal-Fetal Medicine Divisions.
- Presents project data and components to health care professionals at team meetings.
- Acts as liaison between genetic testing laboratories, health insurance providers, and genetic counselors.
- Provides administrative support to genetic counselors to develop patient education materials and patient-centered educational events.
- Calls out results under direction of genetic counselor.
- Follows all patient confidentiality rules and regulations.
- Research Responsibilities (15%)
- Verifies accuracy of study forms and data, and updates study forms per protocol.
- Obtains, compiles, and enters demographic, clinical, and necessary study data into study electronic capture system; collaborates and coordinates with clinicians and research office.
- Contacts subjects to complete study surveys.
- Performs other job-related duties as assigned.
Minimum Qualifications
- High school diploma or GED.
- Two years of relevant experience.
Preferred Qualifications
- Bachelor’s degree in biology, genetics or health-related field.
- One to two years of related experience in a community or medical setting.
- Previous experience with clinical projects either in an administrative, reasearch, or clinical role.
- Administrative experience in a medical office.
- Experience working with patients.
- Must be comfortable transporting sealed biological specimens when required.
- Proficient in MS Word and PowerPoint and MS Excel.
- Epic experience.
- Experience in research.
- Experience with RedCap.
