Leeds School of Business at the University of Colorado Boulder is seeking a highly organized, meticulous, and proactive Coordinator for Undergraduate Programs. This full-time position reports directly to the Executive Director for Undergraduate Programs and serves as a key partner to both the Associate Dean and Executive Director, ensuring the effective execution of initiatives that enhance the undergraduate student experience.

About the role

The Coordinator provides comprehensive administrative and programmatic support across a broad portfolio of undergraduate programs. This role requires exceptional organizational skills, strong communication abilities, and the capacity to manage multiple priorities while collaborating with students, faculty, staff, alumni, and external partners. The successful candidate will work towards advancing the strategic goals of Leeds Undergraduate Programs and fostering an engaging, inclusive, and student-centered environment.

This position is in a hybrid work modality, with an average of 3 days on campus per week. Occasional evening and weekend work is required to support student-facing programs and events, averaging approximately four events per semester.

Responsibilities

  • Assistant to the Associate Dean and Executive Director
    • Manage calendars for Associate Dean and Executive Director, including coordinating meetings with colleagues in Leeds and across campus.
    • Coordinate travel arrangements, assist with logistics, and process travel reimbursement requests.
    • Process faculty-submitted grade changes that require Dean’s approval.
    • Manage Dean’s List recognition process each semester:
      • Identify eligible students and ensure accuracy of Dean’s List reports.
      • Send notifications to recognized students.
      • Coordinate with the Leeds Engagement, Marketing & Communications team to publish the Dean’s List on the Leeds website.
    • Purchase items as needed in accordance with Leeds and campus AP policies, maintaining an understanding of these complex financial policies and acting as liaison with the AP office.
    • Support special projects that advance the Leeds strategic plan and undergraduate program priorities.
    • Other duties as assigned by the Associate Dean and Executive Director.
  • Support for Undergraduate Student Programs
    • Dean’s Leadership Fellows (DLF) Program
      • Plan all logistics and travel for the DLF leadership retreat, including securing contracts, obtaining necessary campus and college approvals, and ensuring timely payments.
      • Plan the senior recognition event each spring semester, including reservations, invitations, RSVP tracking, reimbursements, and necessary approvals.
      • Plan at least one annual event for each cohort according to program objectives.
      • Track DLF student participation in leadership roles each semester and maintain an accurate list of active program participants.
      • Communicate with DLF students to promote events and opportunities on behalf of the Associate Dean and Executive Director.
    • Dean’s Student Cabinet (DSC)
      • Work with DSC Executive Team to support their programmatic goals and serve as a resource regarding Leeds administrative policies and processes.
      • Purchase supplies for DSC events and submit receipts to AP in accordance with AP policies.
    • Beta Gamma Sigma (BGS) (Business Honor Society) Coordinator
      • Work with the Beta Gamma Sigma faculty director to identify and invite eligible students to join each year based on established academic criteria.
      • Upload student data to the BGS national database.
      • Order graduation stoles, certificates, and pins for BGS inductees.
      • Plan and implement all logistics for the BGS induction ceremony and post-event reception each spring semester in collaboration with the Leeds events team.
  • Business Leaders in Residence (BLIR) Support
    • Serve as the operational lead for this program supporting Leeds students’ career development.
    • Work with Employer Relations, Centers, Mentoring Program, Graduate Programs, and Advancement to identify potential business leaders.
    • Send invitations to and maintain communication with business leaders, tracking participation.
    • Communicate with Business Leaders on behalf of the Associate Dean and Executive Director and serve as the main point of contact.
    • Work with the Career Operations Program Manager and Engagement, Marketing, and Communications team to plan and implement all details of the event, which occurs twice per year.
    • Manage student communication, attendance, and follow-up.
    • Collect feedback from all partners, including Business Leaders and students, and provide recommendations for continuous improvement of the BLIR program.
  • Undergraduate Programs Graduation Coordinator
    • Serve on the Leeds recognition ceremony planning committee.
    • Order undergraduate awards and assist in planning the awards ceremony.
    • Attend undergraduate awards ceremonies and graduation ceremonies to assist with day-of logistics and ensure a positive experience for graduates and guests.
    • Support the degree certification process, collaborating closely with the Director of Undergraduate Student Services.
  • Designing Your Leeds (DYL) Support
    • Assist the Associate Dean and Executive Director in planning and implementing the scaling of DYL.
    • Assist with planning and logistics of instructor training.
    • Assist with updating shared course materials, including syllabus draft, slides, workbook, and Canvas template to ensure consistency across sections and instructors.
    • Assist instructors with necessary forms and hiring process for Peer Innovation Coaches (PICs).
    • Provide additional support as needed to ensure the success of the DYL rollout and scaling.

Requirements

  • Bachelor’s degree from an accredited institution (or equivalent combination of education and relevant professional experience).
  • One year of relevant administrative experience in a professional setting.

Preferred Qualifications

  • 3+ years of experience in a professional office setting.
  • Experience working in a higher education setting.
  • Familiarity with CU policies, procedures, and software applications.
  • Proficiency in Salesforce.

Pay

The salary range is $50,000-55,000 annually. Relocation assistance may be available within Leeds guidelines.
