Undergraduate Program Recruitment Coordinator
About the Role
The Undergraduate Program Recruitment Coordinator is responsible for new student recruitment to the Bachelor of Social Work (BSW) program in the University of Kansas School of Social Welfare. This position implements and monitors the undergraduate recruitment strategy for the School of Social Welfare, reporting to the Director of External Affairs. The role involves collaboration with academic advisors, student support staff, academic program directors, and various KU offices, serving as an ambassador for KU Social Welfare to diverse audiences.
This is a full-time, benefits-eligible, 12-month professional staff position based primarily on the KU Lawrence campus, with a set in-person schedule and hybrid or remote work options depending on the recruitment schedule. Occasional travel, as well as evening and weekend hours, are required.
Responsibilities
- Recruitment Events & Outreach (50%)
- Oversee, manage, and actively participate in on- and off-campus recruitment programs and events for the KU School of Social Welfare.
- Represent the School at on-campus recruitment functions (e.g., Junior Days, Admitted Senior Days, Scholar Days) in collaboration with KU Admissions and other campus partners.
- Assist in planning and executing on-campus recruitment events, including Social Welfare-specific events, Hawk Week Academic Welcome, Rock Chalk Days, Crimson and Blue Days, and others.
- Create and deliver presentations about social work programs for KU Admissions events.
- Build connections with high school and community college teachers, counselors, and facilitators to help students explore social work, including school visits and campus hosting.
- Plan and host virtual and in-person information sessions for undergraduate social work programs (Lawrence, Overland Park), coordinating scheduling, staffing, and marketing.
- Manage follow-up communications with event registrants and attendees.
- Represent social work programs at off-campus recruitment events and conferences, including regional and national travel.
- Attend strategic off-campus high school visits and fairs.
- Organize visit programs for middle/high school groups and coordinate select outreach programs on campus.
- Plan and participate in activities to increase awareness of and interest in social work.
- Manage the School’s overall recruitment events calendar in collaboration with the Graduate Recruitment Coordinator and Director of External Affairs.
- Support graduate student recruitment events and visits as directed.
- Support orientation programs for social work students.
- Recruitment Tactics, Strategy, and Prospect Management (30%)
- Collaborate with the Director of External Affairs, program directors, and academic staff to create and implement a recruitment marketing plan for undergraduate social work programs.
- Contribute to the development of recruitment strategies, materials, and resources, and analyze data to recruit prospective students.
- Develop and cultivate a prospective student pool, managing relationships from inquiry to enrollment.
- Track and report prospect movement using recruitment database programs (e.g., Slate).
- Communicate daily with prospective students, families, and counselors via email and phone, providing accurate and timely responses.
- Leverage KU’s CRM (Slate), social media, and personal messaging in the communication plan.
- Communicate with prospective transfer students, connecting them with resources for transfer credit evaluation and other assistance.
- Meet with prospective undergraduate students in person and online to assist with academic program selection and admission.
- Refer prospective students to appropriate KU offices for additional support.
- Organize prospective student mailings and promotional recruitment items.
- Represent the School of Social Welfare in KU Admissions meetings and trainings.
- Serve as the primary point of contact for community/state agencies and higher education institutions seeking information about undergraduate programs.
- Student Ambassador Program Management (10%)
- Supervise Student Ambassadors for the School of Social Welfare, assigning, tracking, and managing their tasks.
- Help the Ambassador team develop professionally and work collaboratively.
- Coordinate prospective student visits and tours with Student Ambassadors.
- Manage on-campus tours for the School of Social Welfare.
- Recruit, hire, and train new Student Ambassadors annually or as needed.
- Service and Miscellaneous Duties (10%)
- Participate as an active member of the School of Social Welfare staff, including attending School Business Meetings and Student Services meetings.
- Serve on School and University committees as directed.
- Complete other job-related duties as assigned.
Requirements
- Valid driver’s license at the time of appointment.
- Ability to work evening and weekend hours as needed, based on the recruitment events schedule.
- Ability to travel to regional and national events for recruitment.
- Ability to work a regular schedule of in-person, on-campus hours, with hybrid flexibility including scheduled remote work and additional remote options during academic breaks.
Qualifications
- Required:
- Bachelor’s degree and one year of experience.
- Minimum of 3 months of presentation experience (e.g., coursework, extracurricular activities, or professional presentations).
- Strong written communication skills, as demonstrated in application materials.
- Preferred:
- Experience in public relations, university admissions, or recruiting.
- Experience in event planning.
- Experience working in a college or university setting.
- Experience working with high school populations.
- Experience as a University of Kansas student.
- Experience successfully managing multiple detail-oriented projects or programs.
- Demonstrated knowledge of the social work profession and social work education.
- Familiarity with higher education recruitment and marketing.
