About the role

The Contracts and Grants Analyst provides comprehensive pre- and post-award research administration support for the School of Medicine (SOM) Finance and Administration team. The incumbent assists faculty and departmental leadership with proposal development, budget preparation, award management, financial analysis, compliance monitoring, and post-award administration to support the successful management of sponsored research programs.

Responsibilities

  • Assists faculty and departmental leadership with proposal development, budget preparation, award management, financial analysis, compliance monitoring, and post-award administration to support the successful management of sponsored research programs.
  • Ensures adherence to University, sponsor, and regulatory requirements while delivering high-quality customer service and operational support to advance the research mission of the School of Medicine.
  • Coordinates the submission of proposals to multiple agencies, including the development of multi-year budgets, where analysis of financial information requires review of a variety of factors (e.g. salaries, fringe benefits, expenses, etc.).
  • Completes and approves transactions for signature by manager or other authorized institutional official.
  • Affords assistance in planning for the effective and appropriate use of all funds; ensures compliance with agency-specific terms and conditions, federal OMB circulars, and UC policy.

Requirements

  • Minimum of 2-4 years of related experience.
  • Demonstrated experience analyzing and interpreting contractual, legal, and/or regulatory language and requirements.
  • Experience ensuring compliance with sponsor terms and conditions, University policies, and/or federal and state requirements for contracts and/or sponsored projects; submitting, reviewing and endorsing sponsored projects proposals; accepting awards that support sponsored projects; and preparing and issuing subawards.
  • Demonstrated specialized experience in contract and grant programmatic/budgetary analysis and reporting; preparing fiscal and progress reports for submission to sponsor or review by management; and preparing periodic budget reports, conducting variance and other analyses, to ensure compliance with sponsor terms and conditions.
  • Prior work experience in contract, grant, and/or sponsored funding administration or research administrative analysis.
  • Experience working in research administration at a university, specifically within a medical school, or a non-profit research institute or hospital.
  • Writing skills to draft persuasive text for variety of audiences.
  • Demonstrated ability to maintain high level of confidentiality and adherence to HIPAA and FERPA.
  • Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.
  • Ability to maintain independent judgment; strong organization; communication skills; and a customer service focus.
  • Ability to manage a high volume of transactions.
  • Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.
  • Maintains current knowledge of compliance regulations in all areas of research administration.
  • Ability to perform moderately complex financial analysis and customized reporting.
  • Proficiency in Microsoft Word, PowerPoint, Excel, Outlook, Edge or other web browsers; experience with maintaining moderately complex databases.
  • Excellent verbal and written communication skills to effectively and professionally communicate, using tact and diplomacy with internal and external campus community partners.
  • Strong ability to organize workload when faced with competing priorities and to complete work assignments on a timely basis despite frequent interruptions.

Preferred Qualifications

  • Knowledge of applicable federal, state, local, sponsor and institutional regulations, policies, and guidelines.
  • Knowledge of applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, etc.
  • Knowledge of grant funding processes, procedures and techniques.
  • Thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities.
