Responsibilities
- Aid in the daily administration of the FAA and DOT Drug and Alcohol Testing Program for all safety-sensitive employees.
- Support the vetting of safety-sensitive employees during the on-boarding process according to 14 CFR Part 120, 49 CFR Part 40, and FAA Part 135.
- Collaborate with the Designated Employer Representative (DER) for program administration and regulatory compliance.
- Coordinate pre-employment, random, post-accident, reasonable suspicion, return-to-duty, and follow-up drug and alcohol testing.
- Maintain accurate employee testing records in accordance with FAA and DOT record retention requirements.
- Ensure confidentiality of testing documentation and comply with applicable privacy requirements.
- Manage pre-employment drug and alcohol history inquiries for new hires and transferring safety-sensitive employees.
- Prepare and submit required reports and documentation supporting FAA and DOT compliance.
- Participate in internal and external regulatory audits, inspections, and compliance reviews.
- Operate compliance tracking databases and prepare reports for leadership as needed.
- Develop, revise, and maintain Drug and Alcohol Program manuals, policies, and procedures.
- Provide guidance to employees and managers regarding Drug and Alcohol Program requirements and testing procedures.
- Research and implement regulatory changes to maintain compliance.
- Assist with additional compliance initiatives and special projects as assigned.
- Maintain consistent availability during scheduled working hours via Slack, Microsoft Teams, email, and phone to address critical compliance and operational matters.
- Provide on-call and after-hours support during regulatory events, operational emergencies, and DER absences.
Qualifications
- Education and Certification: Bachelor’s degree in Business, Aviation, Human Resources, Safety, or related field preferred; two or more years of experience in regulatory compliance, aviation, human resources, or program administration preferred; experience supporting FAA or DOT regulated programs preferred; working knowledge of 14 CFR Part 120, 49 CFR Part 40, and FAA Part 135 operations preferred.
- Organizational and Administrative Skills: Strong organizational, administrative, and documentation skills; ability to interpret and apply federal regulations and company policies; strong attention to detail.

- Physical Requirements: Ability to sit at a desk and use a computer for extended periods; ability to participate in meetings, either in person or virtually; occasional travel required for meetings, conferences, or company events; occasional lifting (e.g., transporting documents or materials).
