Schedule
- Every other holiday, Sunday through Saturday
- Every other weekend
- 16 scheduled hours per week, 7:00 AM – 3:30 PM day shift, Monday–Sunday
- Must work every other holiday and weekends
- Initial EPIC training in Worcester (8:00 AM – 4:30 PM) during the first two weeks of hire
- Additional training for 6–8 weeks; hours depend on trainer availability
About the Role
Under the general direction of the Patient Access Manager and/or Director, the Patient Registration Clerk performs a variety of registration duties. The Patient Registration Clerk provides access to healthcare by performing various duties in a professional and compassionate manner. Registration services include registration of inpatient and outpatient services along with a wide variety of clerical and general administrative duties.
Responsibilities
- Obtains and enters into the computer-based patient registration/scheduling system demographic, insurance, and other related patient information.
- Performs general administrative duties including answering telephones, assisting with patient wayfinding, and providing estimates.
- Collects patient liabilities prior to or on the date of service, as appropriate.
- Maintains good interpersonal relationships with peers, patients, visitors, physicians, and ancillary personnel.
- Obtains patient and witness signatures for all paperwork, including but not limited to Consent to Treat, HIPAA, Privacy, Medicare Rights, Important Message for Medicare, and Patient Rights.
- Responsible for maintaining confidentiality of patient information.
- Demonstrates excellent customer service skills, including service recovery.
- Accurately collects and enters all patient demographic and financial information for all registration types, including obtaining signatures, scanning documents (ROBs, IDs, etc.), obtaining ABNs/IMMs when applicable, and collecting patient financial responsibility.
- Routinely uses reference material to ensure proper course of action and seeks guidance when appropriate.
- Follows downtime procedures and proactively works on downtime tasks, including but not limited to DLs, Insurance Management desktop, renaming faxed orders, cleanup of old/used orders, and ensuring work and patient waiting areas are neat and presentable.
- Demonstrates understanding of their role in Press Ganey/HCAHPS scores and focuses on positively influencing patient experience and likelihood to recommend.
- Processes pre-registrations for all appointment types and locations, excluding ER.
- Answers phone and returns voicemails in a timely manner; seeks guidance from department manager when uncertain or in unusual situations.
- Understands that everyone is a customer and establishes good relationships with patients, visitors, ancillary departments, and physician office personnel.
- Uses all eligibility resources available to verify the correct insurance is listed in the account.
- Works well within the team environment and maintains open communication with co-workers, including during meal breaks and shift changes.
- Demonstrates ability to accurately identify and estimate patient financial liability (copayments, deductibles, coinsurances, deposits, etc.).
- Performs active collections, receipts, posts, and reconciles cash.
- Consistently meets or exceeds Quality Review scores of 80%, 9 out of 12 months of the year.
- Complies with established departmental policies, procedures, and objectives.
- Attends meetings, conferences, and seminars as required or directed.
- Demonstrates use of Quality Improvement in daily operations.
- Complies with all health and safety regulations and requirements.
- Respects diverse views and approaches, demonstrates Standards of Respect, and contributes to a professional, tolerant, and civil environment.
- Maintains regular, reliable, and predictable attendance.
- Performs other similar and related duties as required or directed.
Qualifications
- High school graduate or GED required.
- Customer service experience required.
- Receives on-the-job training under close supervision.
- Previous clerical and Meditech experience desirable but not required.
- A good understanding of medical terminology is helpful.
- Unless certification, licensure, or registration is required, an equivalent combination of education and experience which provides proficiency in the areas of responsibility may be substituted.
