About the Role
The Clinician Scheduler develops and manages schedules for clinicians at hospital locations to ensure all shifts are fully staffed for expected patient volume. This role collaborates with clinicians, leadership, and site directors to ensure appropriate coverage, contributing to the corporation’s financial performance by optimizing clinician utilization, adjusting staffing needs, and managing schedules based on tiered prioritization.
Responsibilities
- Creates and maintains schedules for multiple hospital locations 45 days before the start of the month.
- Works independently using scheduling software (Shift Admin) to auto-generate schedules based on customizations, rules, and weightings.
- Establishes relationships with providers to learn their scheduling preferences and hard stops; uses discretion to determine reasonable requests and when medical director approval is necessary.
- Analyzes requests, identifies potential conflicts, and determines solutions; implements an escalation process if unresolved.
- Compiles standard reports based on historical data to determine future staffing needs.
- Collaborates with credentialing, RDO, directors, and others to ensure available staffing.
- Coordinates with other clinician schedulers to manage cross-credentialed providers and days of availability.
- Works with Scheduling Optimization to schedule traveling physicians and optimize site allocation.
- Ensures distributed days of availability allow for complete staffing of all shifts; optimizes trades and shift blocking to minimize traveling physician expenses.
- Ensures continuity of care, shift equity, and distribution in accordance with site-specific scheduling policies.
- Schedules providers based on budgeting tiers, prioritizing local FT clinicians, followed by PT, STAT, and locums.
- Coordinates and secures outside clinician resources through locum companies within budgeted goals.
- Modifies shift maps as directed by site leadership.
- Adjusts schedules for service/budget needs under immediate deadlines in collaboration with leadership.
- Works directly with site Physician/APP leaders to ensure optimal schedules before publication.
- Fills anticipated and last-minute open shifts and communicates changes to all necessary parties.
- Maintains provider satisfaction regarding the monthly schedule and ensures clear expectations of scheduling requirements.
- Investigates and resolves scheduling complaints, analyzing underlying reasons.
- Sets up Shift Admin and applies shifts with pay codes to automate payroll through Workday integration.
- Uses strong judgment when deviations from policies are necessary to complete schedules by deadlines.
- Communicates terms and premium rates with providers to ensure shift coverage after contractual max is reached.
- Handles on-call responsibilities as required.
- Escalates issues to clinician leadership when necessary to create effective schedules.
- Ensures all parties agree with scheduling policies and decisions.
- Analyzes metrics and reporting, communicating results effectively.

Qualifications
- Bachelor’s degree preferred.
- Experience creating/managing complex fluid schedules.
- Shift Admin scheduling experience preferred.
- Previous experience working with clinicians preferred.
Physical Demands
- Long periods of sitting and reviewing data on computer monitors.
- Close visual acuity required to perform the job.
Pay
Hourly rate: $21.59–$39.94. Rate may be determined based on knowledge, skills, experience, education, geographical location, and job requirements.
