About the role

The Clinical Trial Budget Manager ensures clinical-trial site budgets are high-quality and allocations stay within fair-market values. You will develop and maintain the Sites Fee Framework, coordinate and monitor payments to sites, and support departmental goals. This role collaborates across Medical, Finance, Legal, and external partners to drive operational excellence and continuous improvement.

Responsibilities

  • Analyze protocol flowcharts to create costing, payment strategies, budget estimates, and negotiation parameters within fair-market values.
  • Drive development and maintenance of the Site Fee Framework.
  • Set up year-end accruals and develop plausibility checks.
  • Coordinate, process, monitor, and administer payments (invoices and visits) according to contract and budget terms.
  • Set up, close, re-open, and submit payments within all grants.
  • Use budget-specific and trial metrics to report on, provide visibility into, and analyze performance and deliverables.
  • Maintain a continuous-improvement culture by identifying and executing strategies to enhance operational effectiveness.
  • Stay current with industry standards, trends, and competitive intelligence on budget best practices.
  • Interface with Medical, Therapeutic Areas, Finance, Legal, investigators, site personnel, and third-party vendors.
  • Liaise with Clinical Trial Managers and TA Leads for budget and payment-decision reviews and approvals.
  • Support Finance in resolving payment-execution issues and ensuring accrual-status matching.
  • Partner with Contract Managers to identify issues and propose mitigations.
  • Support Contract Managers in developing negotiation strategies for site budgets.
  • Represent Budget group processes on local and global working groups.
  • Maintain high responsiveness to internal and external requests.

Requirements

  • Bachelor’s degree with a minimum of five years of relevant business experience in regulated pharmaceuticals or healthcare.
  • Strong clinical background and budgeting expertise, including understanding of cost drivers and benchmarks for clinical-site budgets.
  • Strategic thinking and ability to craft persuasive contractual arguments that support business policies and objectives.
  • Proven track record in setting priorities, organizing, and problem-solving to enable sound decision-making.
  • Excellent customer-service skills and high attention to detail.
  • Demonstrated analytical and critical-thinking skills to resolve complex issues with innovative solutions.
  • Excellent written and verbal communication skills, with clarity and conciseness across diverse settings.
  • Experience with clinical and/or project-management planning and reporting systems.
  • Proficiency in Microsoft Excel, Word, and Access.
  • Experience with Veeva and grant-plan systems.
