About the role

The Clinical Trial Budget Manager ensures clinical trial site budgets are of high quality and allocations are within fair market values. This role involves developing and maintaining the Sites Fee Framework, coordinating and processing payments to sites, and supporting departmental goals. You will collaborate internationally and contribute to the discovery, development, and delivery of products to patients and customers.

Responsibilities

  • Analyze protocol flowcharts to create costing, payment strategies, and budget estimates, ensuring allocations are within fair market values (FMV).
  • Drive the development and maintenance of the Site Fee Framework.
  • Set up year-end accruals and develop plausibility checks.
  • Coordinate, process, monitor, and administer payments (invoices and visits) in accordance with agreed terms of contracts and budget exhibits.
  • Set up, close, re-open, and submit payments within all grants.
  • Use budget-specific and trial metrics to report on, analyze, and provide visibility into performance and deliverables.
  • Maintain a continuous improvement culture by identifying and executing strategies to enhance operational effectiveness.
  • Stay current with industry standards, trends, and competitive intelligence on budget best practices.
  • Interface with Medical, Therapeutic Areas (TAs), Finance, Legal, and external parties such as investigators, site personnel, and third-party vendors.
  • Liaise with Clinical Trial Managers and TA Leads for review and approval of budget and payment decisions.
  • Support Finance in reviewing payment execution issues and ensuring accrual statuses match agreed contracts.
  • Collaborate with Clinical Finance/Accounting, Legal, and Clinical Operations Management for approval of payment-related decisions and maintain proper documentation.
  • Partner with Contract Managers to identify issues and propose mitigations.
  • Support Contract Managers in developing negotiation strategies for site budgets.
  • Represent Budget group processes in local and global working groups.
  • Maintain a high degree of responsiveness to internal and external requests.

Qualifications

  • Bachelor’s degree with a minimum of five (5) years of relevant business experience in regulated pharmaceuticals or healthcare industry.
  • Strong clinical background and understanding of cost drivers and benchmarks for clinical site budgets.
  • Ability to think strategically and initiate persuasive contractual arguments to support business policies and objectives.
  • Track record in setting priorities, organization, and problem-solving skills to enable sound decision-making.
  • Excellent customer service skills and high attention to detail.
  • Demonstrated analytical skills and critical thinking to resolve complex issues.
  • Excellent written and verbal communication skills for various settings.
  • Experience with systems and applications related to clinical and/or project management planning and reporting.
  • Proficiency in computer applications (Excel, Word, Access) is essential.
  • Experience with Veeva and grant planning is required.

Pay

$50–55 per hour, depending on experience.
