Core Job Functions

  • Assists the department in managing expectations surrounding pre- and post-patient care.
  • Obtains or reviews all patient demographic information, insurance information, and referral numbers.
  • Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.
  • Answers multiple telephones for the department: triages incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provides coverage for responsibilities of co-workers when assigned or as need arises.
  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
  • Maintains confidentiality of all information.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.

Core Qualifications

  • Education: High School Diploma or equivalent/relevant experience, certification or license.
  • Experience: Minimum 2 years of relevant experience required.
  • Knowledge, Skills and Abilities: Learning Agility, Teamwork, Technical Proficiency, Communication.

Department Specific Job Functions

  • Serve as a primary contact for Pediatric Neurology patients by answering phones, triaging requests, responding to UChart messages, and ensuring timely follow-up on patient inquiries.
  • Cookinate and manage physician clinical schedules across multiple practice locations, including Mailman and and satellite clinics.
  • Cookordinate patient appointments, referrals, scheduling changes, and clinic-related communications to support patient access and continuity of care.
  • Cookordinate faculty calendars, including meetings, interviews, lectures, conferences, educational events, and departmental activities.
  • Arrange meeting logistics, room reservations, visitor accommodations, catering, and event coordination as needed.
  • Process faculty leave requests and maintain vacation and leave records in accordance with University and Department policies.
  • Cookordinate domestic and international travel arrangements, including transportation, lodging, itineraries, and related logistics.
  • Prepare and submit travel reimbursement documentation and supporting materials in compliance with University policies and procedures.
