Core Job Functions
- Assists the department in managing expectations surrounding pre and post patient care.
- Obtains or reviews all patient demographic information, insurance information and referral numbers.
- Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.
- Answers multiple telephones for the department: triage incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
- Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
- Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
- Provides coverage for responsibilities of co-workers when assigned or as need arises.
- Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
- Maintains confidentiality of all information.
- Adheres to University and unit-level policies and procedures and safeguards University assets.
Department Specific Functions
- Responsible for physician’s schedule to coordinate academic and patient related activities.
- Makes sure clinical schedule for providers is accurate in terms of number and types of appointments.
- Monitors no shows and cancelled appointments as per department policy.
- Follows up on all results for area of responsibility including but not limited to all lab work, pathology and ancillary testing such as mammograms, ultrasounds, MRIs as directed by providers.
- Follows up on any necessary referrals to specialists, procedures as requested by providers.
- Sends requests as needed for any authorizations/referrals for these follow up appointments and procedures.
- Coordinates and ensures receipt of financial and medical clearance for surgery and other duties as assigned.
- Function as the primary on phones using Nice Systems as a call center. Answers phones and provides patients with the assistance/guidance they seek.
- Schedules/Reschedules appointments of new and established patients.
- Schedules patients for procedures in office or at facility.
- Manages provider’s bump lists and re-schedules, with occasional assistance, within 48 hours of receiving the bump list.
- Processes CRM’s from clinical sites/Uconnect. Scans patient documentation in chart.
- Responds to all In baskets in a timely manner (what is considered timely is defined by the division).
- Responsible for UChart scheduling In basket messages: Results notes/ RX Request/ Pt Calls/ Cc Chart and Rx Response assuring all messages are marked for completion.
- Submits relevant paperwork on behalf of our doctors.
- Affords Faculty at JMH when scheduled.
Qualifications
- CORE QUALIFICATIONS: High School Diploma or equivalent/relevant experience, certification or licenseMinimum 1 year of relevant experience requiredRefer to department description for applicable certification requirements
