The Client Care Coordinator is primarily responsible for supporting the daily activities of a medical spa, including telephone coverage, appointment scheduling, registration, transactions, and client care.

Responsibilities

  • Work a combination of weekday, weekend, and evening shifts, including opening and closing shifts.
  • Provide excellent client care and customer service.
  • Answer and screen high volume of inbound phone calls.
  • Manage appointments (scheduling, moving, and canceling).
  • Actively promote the clinic, treatments, services, products, programs, promotions, and discounts.
  • Provide accurate and immediate responses to guest requests, ensuring complete satisfaction.
  • Accurately complete client transactions.
  • Maintain composure while managing multiple responsibilities, prioritizing clients.
  • Perform opening and closing duties of the clinic.
  • Provide basic office administrative support (mailing, faxing, sorting, typing, filing).
  • Maintain confidentiality in all guest matters.
  • Assist with other duties and projects as assigned by management.

Requirements

  • High School Diploma or GED required; AA preferred.
  • 1+ years of customer or sales experience required; aesthetic setting experience preferred.
  • Exceptional customer service skills.
  • Ability to thrive in a fast-paced environment.
  • Multi-tasking, prioritizing, and organizing with high accuracy.
  • Team player with initiative and independent work ethic.
  • Proficiency in Internet, Outlook, Excel, Word, and ability to learn new software quickly.
  • Social media experience is a plus.
  • Excellent written, verbal, and interpersonal skills.
  • Great attention to detail and accuracy.
  • Strong character, ethics, and performance standards.
  • Experience in medical office or understanding of cosmetic procedures/skincare products.
  • Experience with Zenoti or other POS systems preferred but not required.

Physical Requirements

  • Prolonged periods of sitting, computer work, talking, and hearing.
  • Occasional standing, walking, handling, reaching, climbing, stooping, kneeling, and lifting up to 30 pounds.
