About the Role

The Clerical Healthcare Administrator provides a high standard of service excellence to both internal and external customers, interacts with patients to resolve issues and questions, and demonstrates a commitment to the financial success of the Health & Counseling Center (HCC). This role performs a variety of functions, including patient registration, scheduling, medical record management, billing, and administrative support.

Responsibilities

  • Patient Services
    • Interacts with patients, visitors, and HCC staff courteously, demonstrating initiative in meeting patient needs.
    • Schedules patient appointments efficiently and accurately according to practice protocols.
    • Prepares, updates, and maintains patient schedules, including confirming, rescheduling, and canceling appointments.
    • Coordinates patient flow and prioritizes immediate needs such as registration, schedule changes, and urgent care.
    • Instructs patients on entering information via the secure web portal.
    • Notifies providers of canceled or rescheduled appointments.
  • Administrative
    • Scans and updates patient electronic medical records, including specialist notes, emergency room notes, and prescription requests.
    • Answers telephones promptly, routes callers, takes accurate messages, and provides routine information.
    • Monitors patient needs in the reception area and maintains a neat, clean, and safe workspace.
    • Performs clerical duties such as copying, mailing, and other tasks as requested.
  • Communication
    • Creates, implements, and oversees internal and external communications programs promoting DU HCC.
  • Medical Records
    • Ensures accuracy of CPT and ICD-10 codes.
    • Maintains patient electronic medical records.
    • Ensures confidentiality of patient and institutional material in accordance with FERPA and HIPAA.
  • Patient Billing
    • Assures accuracy of CPT and ICD-10 codes on patient visits.
    • Answers staff questions related to billing and collections.
    • Notifies appropriate parties of missing billing information.
    • Generates patient bills, records collections, and provides billing instruction to patients.
    • Processes payments and tracks accounts receivable, including generating reminder notices.
  • Coordinates and supports educational outreach programs and serves as a liaison with private, public, and university agencies.
  • Facilitates resolution of student issues and complaints.
  • Performs routine clerical duties as assigned.

Requirements

  • Associate’s Degree or 2–5 years of customer service in a healthcare environment or related field or 2–5 years of customer service-related experience.
  • Working knowledge of Microsoft Suite products.
  • Knowledge of basic office equipment (phone, fax, copier, credit card machine, etc.).
  • Computer data entry experience: minimum 40 words per minute typing speed.
  • Working knowledge of medical billing and coding.

Preferred Qualifications

  • 2–5 years of customer service in a healthcare environment.
  • Bachelor’s Degree.
  • Experience in medical coding and terminology.
  • Experience with computerized data collection, billing, and account tracking systems.
  • Experience with Electronic Medical Record (EMR) software.
  • Exceptional interpersonal, written, and oral communication skills.
  • Strong organizational and time management abilities.
  • Ability to manage multiple projects simultaneously.
  • Ability to work effectively with diverse constituents.
  • Ability to handle sensitive and confidential information.

Skills

  • Sophisticated written and verbal communication skills, including creating educational content, memos, and reports.
  • Basic understanding of math and budget management.
  • Expertise in quantitative and qualitative data analysis (strongly preferred).
  • Ability to concentrate on fine details with constant interruptions.
  • Ability to remember multiple tasks and assignments over extended periods.
  • Excellent interpersonal skills and adaptability to change.
  • Proficiency in Microsoft Office products.
  • Ability to perform simple and moderately difficult motor and manipulative skills (e.g., typing, writing, using a telephone).
  • Ability to see clearly at near and far distances and communicate verbally and in writing.

Working Environment

  • Standard office environment with moderate to high stress levels and frequent interruptions.
  • Fast-paced setting with daily public contact and balancing multiple priorities.
  • Physical activities include sitting for extended periods, occasional movement around the office/campus, and transporting objects up to 20 lbs.

Schedule

  • Monday – Friday, 8:00 a.m. – 5:00 p.m.
  • May require at least one 10:00 a.m. – 7:00 p.m. shift per week during the academic year, based on clinic scheduling.

Pay

The hourly range for this position is $21.55–$25.00. The salary offered will be determined based on qualifications, departmental budget, internal equity, and market information.
