About the role
The NYC Law Department is seeking qualified candidates for various clerical associate positions across different divisions. Candidates must be permanent in the Clerical Associate title or reachable on the list for a level 3 position.
Responsibilities
- Fulfill day-to-day operations in borough offices, including data entry, receptionist duties, filing, internet searches, and correspondence creation.
- Maintain and organize filing systems, shred documents, and copy materials.
- Conduct internet searches, prepare charts and graphs, retrieve information from databases, and create and mail correspondence.
- Handle general clerical tasks such as reviewing and preparing documents, data entry, filing, opening and sorting mail, answering phones, relaying messages, scheduling appointments, and special projects.
- Support the supply room, organize the Central File room, route and deliver mail, assist with reassigned case files, archive cases, and update archive case spreadsheets.
- Provide general clerical assistance, including data entry, mail sorting, fax handling, archiving, and special projects such as reviewing and cataloging video and audio materials, organizing files, and tracking settlement paperwork.
- Handle legal papers, create, refine, and reproduce documents, manage data and electronic filings, deliver and serve materials, and support daily court activity.
- Assist in daily processing of critical time-sensitive documents.
- May receive documents served on the city at the Service Window.
- Pick up and/or deliver items.
- File and/or serve legal documents.
- Sort mail based on type and perform multi-level sorts.
- Work with mail equipment and various package vendor systems for mail processing.
- Scan or photocopy litigation documents and files.
- Work on special projects as required.
- Cross train in various areas within the Division.
Requirements
- A four-year high school diploma or its equivalent approved by a State's department of education or a recognized accrediting organization, plus one year of satisfactory clerical experience.
- Keyboard familiarity with the ability to type at a minimum of 100 key strokes (20 words) per minute.
