Job Description

The Centralized Scheduler at UofL Health schedules patients for outpatient diagnostic testing and procedures. Key responsibilities include obtaining and verifying patient demographics and insurance coverage, checking diagnoses for Medicare compliance, instructing patients on pre-procedure preparations, maintaining files, answering phones, and sending/receiving fax transmittals. The role also involves ensuring clinical department leadership is informed about test result requests and coordinating tasks with the Office Clerk.

  • Accurately schedules patient appointments and completes the process in a timely manner.
  • Documents special instructions and information related to insurance, compliance checkers, etc.
  • Answers the phone within 3 rings, stating name, department, and/or job title, and asks, "How may I help you?"
  • Takes steps to avoid scheduling errors and reschedules them if they occur using conflict scheduling principles.
  • Organizes the work area for efficient and maximum productivity.
  • Transmits all patient documents accurately and in a timely manner.

Essential Functions

  • Verifies and repeats appointment details to customers.
  • Assumes responsibility for following compliance guidelines with federal, state, and local regulations.
  • Maintains knowledge of procedures, times, preparations, locations, physicians, and any special instructions associated with procedures.
  • Maintains a professional image and observes "On-Stage" and "Off-Stage" behaviors.
  • Supports department and organizational goals by working as a team player.
  • Maintains compliance with all company policies, procedures, and standards of conduct.
  • Complies with HIPAA privacy and security requirements to maintain confidentiality at all times.

Other Functions

  • Maintains accountability for improving job knowledge and skills.
  • Supports team members, the department, and the organization.
  • Performs other duties as assigned.

Education & Experience

  • High School Diploma or GED/ equivalent (required).
  • At least one (1) year of hospital or clinical scheduling experience (preferred).
