Responsibilities

  • Create a welcoming, professional first impression for patients, visitors, and referral sources.
  • Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls.
  • Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps.
  • Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits.
  • Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed.
  • Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation.

Qualifications

  • A High School Diploma or GED.
  • Experience in a medical front desk, healthcare reception, physical therapy, chiropractic, dental, or similar clinical office setting preferred but not required.
  • Strong communication, organization, multitasking, and follow-up skills.
  • Comfort using computers, phones, scheduling systems, electronic medical records, email, and basic spreadsheets.
  • Ability to discuss payments, scheduling expectations, and basic insurance information with professionalism.
  • A calm, patient-centered approach with strong attention to detail and a willingness to help the team.
