Care Coordinator (Medical Receptionist/PSR)
Advanced Physical Therapy, a member of the Confluent Health family, is seeking a Full Time Front Desk Medical Receptionist to join our South Leawood team. As the first point of contact, you set the tone for the entire patient experience—organized, warm, and professional from the first call through every visit.
About the role
This is a fast-paced, multi-tasking role where no two days look the same. Your ability to stay calm, follow through, and take ownership directly impacts patients and the clinical team. You’ll thrive in a collaborative environment with structured support, including a 30/60/90-day development plan, leadership guidance, and a built-in buddy system across clinic locations. Many front desk team members advance into clinic management, operations, and leadership roles.
Responsibilities
- Create a welcoming, professional first impression for patients, visitors, and referral sources.
- Manage front desk operations including patient check-in, check-out, scheduling, insurance verification/authorization, and phone calls.
- Review, schedule, and follow up on incoming referrals by gathering information, creating or updating patient records, and helping patients understand next steps.
- Keep patient flow and schedules moving by confirming appointments, working waitlists, filling cancellations, and following up with patients who need future visits.
- Collect copays, balances, and other patient payments accurately and professionally, including basic payment tracking or reconciliation when needed.
- Protect patient privacy and uphold HIPAA standards in all front desk interactions and documentation.
Requirements
- High School Diploma or GED required.
- 1+ year of experience in a customer-facing or patient-facing role (e.g., retail, hospitality, call center, medical reception, or similar settings).
- Demonstrated ability to manage multiple tasks at once while staying organized and detail-oriented.
- Comfortable and confident communicating on the phone, including handling upset or frustrated callers with patience and professionalism.
- Basic computer proficiency: comfortable learning new systems, navigating scheduling software, sending emails, and working in spreadsheets.
No prior medical experience required—we provide comprehensive training including EMR navigation, insurance fundamentals, scheduling workflows, and phone etiquette.
