About the Role

As a Campus Registrar at Galen College of Nursing, you are responsible for planning, organizing, and supervising the development and operations of the Academic Records area for an assigned campus. The Campus Registrar provides consistent, friendly support to students, faculty, and staff, assists with the maintenance of academic records, enforces policies, and follows established procedures of the College.

Responsibilities

  • Provide quality student service, demonstrating the College’s commitment to thoughtful, equitable treatment of all students in registration and academic records while ensuring confidentiality and accuracy.
  • Select, train, evaluate, schedule, and supervise campus Academic Records staff to fulfill department goals and deliver consistent, friendly support to students, faculty, and staff.
  • Ensure the integrity, security, and accuracy of student academic records, including student statuses, graduation dates, grades, attendance, and disciplinary actions or advisement.
  • Verify that students have met all enrollment/admission requirements, including background checks and admission test thresholds.
  • Process graduate records to facilitate inclusion in graduation ceremonies and ensure students can sit for the NCLEX® with state boards of nursing.
  • Provide oversight for processing all readmission students and timely notification of changes to student status (e.g., probation, dismissals).
  • Coordinate with other campus teams to meet student needs and routinely contact students regarding attendance, performance, and progression, documenting interactions in CampusVue.
  • Provide support and assistance to students, including:
    • Initial intake and transfer credit verification.
    • Registration assistance, including prerequisite/co-requisite verification.
    • Processing waitlists and registering repeating students.
    • Assisting with schedule adjustments during Add/Drop week and advising on financial aid impacts.
    • Assisting with uniform orders.
    • Monitoring clinical compliance and tracking site-specific clinical requirements.
  • Provide student transcripts and verifications for pickup at the campus.
  • Support Academic Leadership by providing reports and analysis on enrollment, registration, attendance, grades, and other requested data.
  • Coordinate with Student Success personnel to ensure students receive necessary assistance and resources.
  • Assist with budget planning by providing enrollment data related to performance, retention, and completion.
  • Relay student feedback and recommendations for improvements to the Academic Records area.
  • Participate in campus academic meetings and assist faculty/staff with CampusVue interfaces.
  • Ensure compliance with all policies and procedures outlined in the Student Catalog, Faculty Handbook, and College Policy & Procedure Manual.
  • Work with students and Director(s) of Clinical Education to ensure compliance with Galen and affiliate requirements (e.g., immunizations, CPR, drug screenings).
  • Support College/Campus goals, monitor performance as outlined in the Institutional Effectiveness Plan, and contribute to action plans for campus goals.
  • Track and report on student interactions, placement, and other campus goals.
  • Assist in producing class and examination schedules that meet faculty and student needs, and maintain classroom calendars and course schedules.
  • Participate in campus activities interfacing with students, such as orientation, open house, and graduation (minimum of three graduations per year).
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree in a business-related field required.
  • Three (3) years’ experience in a college or academic setting preferred.

Skills

  • Knowledge or willingness to learn current student systems (e.g., CampusVue, Canvas, Unitime, Verified Credentials).
  • Knowledge or willingness to learn the college catalog, policies, procedures, and state requirements for licensure.
  • Knowledge of registration and records procedures and systems.
  • Supervisory skills and ability to handle multiple responsibilities.
  • Ability to mediate disputes and achieve cooperation.
  • Strong oral communication skills for interacting with coworkers, students, and management.
  • Ability to work cooperatively with employees at all levels and students.
  • Ability to work under pressure and meet deadlines in a fast-paced environment.

Physical Requirements

  • Ability to walk, stand, and sit for long periods.
  • Ability to speak concisely and effectively.
  • Ability to operate a personal computer and office equipment.
  • Normal motor skills and eye-hand coordination.
  • Travel may be required.

Degree of Supervision: Minimal supervision.
