About the role

As a Campus Registrar at Galen College of Nursing, you will plan, organize, and supervise the development and operations of the Academic Records area for an assigned campus. You will provide consistent, friendly support to students, faculty, and staff, assist with the maintenance of academic records, enforce policies, and follow established procedures of the College.

Responsibilities

  • Provide quality student service, ensuring thoughtful, equitable treatment of all students in registration and academic records while maintaining confidentiality and accuracy.
    • Select, train, evaluate, schedule, and supervise campus Academic Records staff to fulfill department goals and ensure consistent, friendly support.
    • Ensure the integrity, security, and accuracy of student academic records, including statuses, graduation dates, grades, attendance, and disciplinary actions.
    • Verify students have met all enrollment/admission requirements, including background checks and admission test thresholds.
    • Process graduate records to facilitate inclusion in graduation ceremonies and ensure students can sit for NCLEX® with state boards of nursing.
    • Oversee processing of all readmission students.
    • Notify students of changes to their status with the college (e.g., probation, dismissals).
    • Coordinate with other campus teams to meet student needs.
    • Contact and meet with students regarding attendance, performance, and progression; document interactions in CampusVue.
    • Provide support and assistance to students, including:
      • Initial intake, ensuring students understand and agree with transfer credit awarded.
      • Registration assistance, verifying prerequisites/co-requisites are met.
      • Processing waitlists as space permits.
      • Registering students who are repeating courses.
      • Assisting with schedule adjustments during Add/Drop week and advising on impacts to completion and financial aid.
      • Assisting with uniform orders.
      • Monitoring clinical compliance and helping non-compliant students meet requirements.
      • Tracking site-specific clinical requirements to ensure student readiness.
      • Providing student transcripts and verifications.
  • Provide professional assistance and support to campus Academic Leadership.
    • Generate reports and analysis on student enrollment, registration, attendance, grades, and other required information.
    • Coordinate with Student Success personnel to ensure students receive necessary assistance and resources.
    • Assist with budget planning by providing enrollment data relative to class performance, retention, and completion.
    • Relay student feedback, comments, and complaints to address situations and implement improvements.
    • Participate in all campus academic meetings.
    • Assist faculty and staff with CampusVue interfaces.
  • Ensure compliance with all policies and procedures outlined in the Student Catalog, Faculty Handbook, and College Policy & Procedure Manual.
    • Provide information on policies and procedures to students and staff upon request.
    • Work with students and Director(s) of Clinical Education to ensure compliance with Galen and affiliate requirements (e.g., immunizations, CPR, drug screenings).
  • Support College and Campus goals.
    • Monitor campus performance as outlined in the Institutional Effectiveness Plan and assist in developing action plans to meet goals.
    • Lead Campus Academic Records staff in contributing to campus goal attainment, including tracking and reporting on student interactions, placement, and other strategic goals.
  • Assist in producing class and examination schedules that serve the needs of faculty and students while ensuring assigned classrooms meet instructional quality standards.
    • Work with program directors to create schedules, calendars, or room grids and maintain classroom calendars and course schedules throughout each term.
    • Update assigned faculty in CampusVue as needed.
  • Participate in campus activities interfacing with students, such as orientation, open house, and graduation (minimum of three graduations per year).
  • Perform other duties as assigned.

Requirements

  • Bachelor’s degree in a business-related field required.
  • Three years of experience in a college or academic setting preferred.

Skills

  • Knowledge of or willingness to learn current student systems (e.g., CampusVue, Canvas, Unitime, Verified Credentials).
  • Knowledge of or willingness to learn the current college catalog, policies, and procedures.
  • Knowledge of or willingness to learn state requirements for licensure.

  • Knowledge of registration and records procedures and systems.
