Role Overview

We are seeking a high-level Executive Administrative Assistant to provide administrative support. The main function is to support a large global organization by conducting research, handling information requests, and performing clerical functions. This role will contribute to driving rhythm-of-business (ROB) processes, executive readiness, meeting preparation, stakeholder coordination, and strategic planning activities.

Key Responsibilities

  • Perform general office duties such as ordering supplies and maintaining records management systems.
  • Prepare invoices, reports, memos, letters, financial statements, and other documents.
  • File and retrieve corporate documents, records, and reports.
  • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution.
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Ensure the right stakeholders are engaged, leaders are prepared, and priorities are aligned.
  • Ensure key business operations run smoothly across marketing and operations functions.

Required Qualifications

  • Education: High school diploma or GED required.
  • Experience: 5-7 years of experience required. Experience working with executives is highly preferred.
  • Skills: Verbal and written communication skills, multi-tasking, customer service skills, and interpersonal skills. Ability to work independently and manage one’s time. Ability to keep information organized and confidential. Basic mentoring skills necessary to provide support and constructive performance feedback. Previous experience with computer applications, such as Microsoft Word, Excel, and PowerPoint.

  • Experience working in a commercial business setting.
  • Experience in the tech industry.
