About the role

The Business Office Manager (BOM) oversees and administers the community's accounting and human resources functions. Key responsibilities include managing front desk operations, ensuring compliance with policies and regulations, and leading a team.

Responsibilities

  • Interview, hire, train, set performance goals, and monitor front desk concierge team members.
  • Administer accounting functions such as accounts receivable, collections, and management reports.
  • Manage resident billing, collections, and vendor payments.
  • Facilitate seamless resident billing and payment updates with Corporate.
  • Administer talent acquisition processes, including interviewing, offering positions, and conducting background checks.
  • Collaborate with Department Heads to ensure required paperwork and training are completed.
  • Coordinate payroll duties, including generating reports and managing labor discrepancies.
  • Manage employee benefit programs and communicate plan details.
  • Plan, develop, organize, schedule, evaluate, and direct the front desk department.
  • Work with the Executive Director and Corporate Office on community legal issues.
  • Manage long-term care insurance coordination and contracts with third parties.
  • Maintain staff rosters and OSHA binders.
  • Ensure a safe and secure environment.
  • Comply with federal, state, and local regulations and company policies.
  • Lead with a spirit of teamwork and open communication.

Requirements

  • High school diploma or equivalent (GED), required.
  • College degree or several years of college coursework, preferred.
  • 3+ years of prior supervisory or leadership experience in a similar work environment or industry, required.
  • 2+ years of fundamental accounting experience/knowledge, preferred.
  • 2+ years of fundamental human resources experience/knowledge, preferred.
  • 1+ years of fundamental recruitment or talent acquisition experience strongly preferred.

Qualifications

  • Good working knowledge of HR, payroll, talent acquisition, and accounting requirements and protocols.
  • Must complete required background clearances, health screening, and provide negative TB test results within 7 days of employment (must be within the last 6 months).
  • Valid state driver’s license and valid insurance or reliable method of transportation.
  • Proficiency using Microsoft Office Suite (e.g., Word, Excel, and Outlook) and operating standard office equipment.
  • Excellent verbal and written communication skills, including the ability to speak, write, and read English.
  • Ability to make sound, independent decisions, remain calm, and effectively manage conflicts, stressful, or emergency situations.
  • Able to maintain confidentiality of all sensitive information.
  • Able to present a positive and professional image.

Physical Demands & Work Environment

  • Must be mobile and able to perform the physical requirements of the job, including walking, bending, kneeling, squatting, pulling, reaching overhead, and repetitive motion.
  • Ability to sit and work at a computer for prolonged periods.
  • Ability to lift and carry up to 50 pounds and push up to 250 pounds, as necessary.
  • Ability to assist in the physical movement of residents during routine transfers or in emergency situations.
