Position Summary

The Business Development Executive Coordinator provides executive, operational, and project coordination support to the VP of Business Development & Marketing and the Business Development department. This role supports the execution of strategic initiatives, cross-functional projects, pipeline coordination, proposal development, and relationship management across all PNS verticals. The coordinator also strengthens departmental performance through reporting, process standardization, and timely follow-through on deliverables.

Duties and Responsibilities

  • Provide executive administrative and operational support to the VP of Business Development & Marketing, including calendar management, meeting coordination, agenda preparation, action item tracking, travel logistics, and cross-functional project execution.
  • Serve as a liaison between internal departments, leadership, and external stakeholders to facilitate communication and ensure strategic initiatives and project deadlines are met.
  • Convert executive and business development discussions into structured action plans with defined owners, timelines, dependencies, and follow-up items; monitor progress through completion.
  • Maintain project, CRM, pipeline, and task-tracking tools and dashboards; ensure data integrity and provide leadership with timely reporting on milestones, risks, and growth activities.
  • Collect and synthesize internal data, market intelligence, and competitive information to develop executive summaries, presentations, proposals, RFPs/RFIs, and other strategic materials.
  • Support contract and LOI coordination by organizing redlines, tracking approval workflows, maintaining agreement repositories, and logging key commercial terms.
  • Cook up recurring executive, stakeholder, Health Plan, provider, and partner meetings, including scheduling, agendas, materials, note-taking, and follow-up tracking.
  • Maintain organized records of project documentation, SOPs, meeting minutes, agreements, and departmental materials within designated platforms (SharePoint, OneNote, Monday.com); support project closeout and post-implementation documentation.
  • Manage business development opportunity lists, contact records, and outreach logs; support lead intake and qualification workflows; ensure timely follow-up on inbound opportunities.
  • Support relationship management and retention by preparing contact plans, tracking key executive relationships, and coordinating client and partner engagement activities.
  • Develop and maintain standardized templates, trackers, workflows, and playbooks; support team adoption and consistent use of departmental tools and platforms.
  • Support automation and efficiency initiatives using tools such as Microsoft Copilot and Power Automate to reduce manual reporting and standardize recurring processes.
  • Aid with ad hoc requests related to strategic initiatives, executive support, internal communications, and cross-entity projects.

Requirements

  • Bachelor's degree in Business Development, Project Management, Operations, or a related field preferred; equivalent experience accepted.
  • Minimum 3–5 years of experience in healthcare, provider relations, HMO/PPO, Medicaid, or Medicare environments preferred.
  • Knowledge of Medicare and Medicaid regulatory requirements preferred.
  • Proficiency in Microsoft 365, including Teams, SharePoint, OneNote, Excel, PowerPoint, Word, and Outlook.
  • Experience with project management and CRM platforms such as Monday.com or similar tools preferred.
  • Familiarity with AI-enabled productivity and workflow automation tools, such as Microsoft Copilot or Power Automate, preferred.
  • Understanding of project lifecycle concepts — planning, execution, monitoring, and closeout — including governance, risk tracking, and process standardization preferred.
  • Knowledge of proposal coordination, pipeline tracking, and business development support processes preferred.

Skills

  • Strong project coordination skills with the ability to manage multiple priorities, timelines, and cross-functional deliverables across concurrent initiatives.
  • Proficient in written and verbal communication skills, including the ability to prepare executive summaries, presentations, and proposals.
  • Experience leveraging AI and automation tools to streamline reporting, documentation, and task management.
  • Detail-oriented approach to CRM hygiene, pipeline tracking, action item follow-up, and recurring reporting.
  • Process mapping, workflow documentation, and template development skills preferred.
  • Bilingual English/Spanish preferred.

Travel

This position requires about 35% travel.

Salary Description

$57,000 - $60,000 per year
