Reporting directly to Location Manager Location 84 Marchmont Street London Working hours 39.5 hours per week Apprenticeship Business Administrator Main purpose of the role The Apprentice Business Administrator will provide professional, reliable and welcoming administrative support to PRG's 84 Marchmont Street, London location. The role is primarily office-based and will support the smooth day-to-day running of the location, with particular responsibility for meeting and greeting clients and visitors, maintaining front-of-house standards and assisting the Location Manager with general office administration. Alongside their day-to-day duties, the apprentice will complete the required learning and development activities associated with the Business Administrator apprenticeship standard. Key Responsibilities Summary of Principal Duties and Responsibilities Act as a professional and welcoming first point of contact for clients, visitors, suppliers and colleagues attending the 84 Marchmont Street London location.Meet and greet visitors, confirm appointments, notify the relevant host and ensure visitors are directed or accompanied appropriately.Maintain a tidy, organised and professional reception, meeting-room and communal office environment.Prepare meeting rooms before use, including arranging refreshments, checking presentation equipment and ensuring rooms are reset afterwards.Answer and direct incoming telephone calls and respond to general enquiries in a polite, helpful and timely manner.Manage incoming and outgoing post, deliveries and courier collections, maintaining accurate records where required.Assist the Location Manager with general administration, including document preparation, filing, scanning, photocopying, data entry and maintaining electronic and paper records.Support the coordination of diaries, meetings, room bookings, appointments and location-based events.Draft routine emails, letters, notices, agendas and meeting notes to an appropriate professional standard.Monitor office stationery, kitchen and welfare supplies, place approved orders and help maintain appropriate stock levels.Maintain office records and trackers, including visitor information, contact lists, equipment records and other location documentation.Support the Location Manager with facilities-related administration, reporting maintenance, cleaning, security or health and safety matters promptly and following up as directed.Assist with the induction of temporary visitors to the location, including preparing access information, workspaces and relevant welcome materials.Handle personal, client and commercially sensitive information with appropriate confidentiality and in accordance with PRG's data protection requirements.Build effective working relationships across the 84 Marchmont Street London location and provide reasonable administrative support to other teams when required.Attend apprenticeship training sessions online, complete learning activities and workplace evidence within agreed timescales, and participate positively in progress reviews with PRG and the training provider.Take responsibility for personal development by seeking feedback, applying learning and progressively working with greater confidence and independence.Ensure that the Company's policies, rules, procedures and obligations are observed when carrying out all duties.
