About the role

Responsible for overseeing administrative operations for multiple crane service branches within a centralized region. Ensures effective communication and coordination among personnel across three locations in Vancouver, WA; Spokane, WA; and Pueblo West, CO.

Responsibilities

  • Oversee the day-to-day administrative operations of the crane service branch
  • Organize office operations and procedures such as typing, flow of correspondence, filing, and other operational duties
  • Evaluate office production and revise procedures to improve efficiency of workflow
  • Answer incoming phones, monitor departmental email inboxes, and ensure that messages are properly routed
  • Address customer issues, even in the absence of key personnel
  • Process completed service invoices and parts sales invoices
  • Prepare financial reports as specified
  • Prepare timesheet coding and timesheet tracking, including billing hours
  • Process orders for necessary equipment and supplies within budgetary guidelines
  • Maintain office supplies and account for administrative budget
  • Provide reports to management as requested and maintain acceptable DSO levels
  • Complete job closings on a monthly basis and bring questionable closings to the attention of the Service Manager
  • Send completed inspection reports to customers and completed invoices to customers
  • Work with the training department to ensure all department personnel maintain required training and certifications
  • File and retrieve branch documents, records, and reports
  • Participate in departmental meetings and maintain a clean and organized work area

Requirements

  • At least 2 years in an administrative role, equivalent military experience, or the equivalent combination of education and experience
  • Willingness to learn and stay educated in the crane industry
  • Valid driver’s license in good standing that meets company requirements
  • Ability to lift/pull up to 25 lbs.
  • Solid written and verbal communication skills
  • Organizational and communication skills
  • Strong analytical, conceptual, and planning skills
  • Excellent math skills and overall PC literacy (Microsoft Office)
  • Detail-oriented, self-motivated, and disciplined with the ability to multi-task
  • High school diploma or GED required; some college preferred
