Job Overview
The Bookkeeper will manage daily financial transactions, ensuring strict compliance with Florida Bar Trust Accounting rules (IOLTA), and handles legal billing, payroll, and reconciliations.
Key Responsibilities
- Maintain and reconcile trust/IOLTA accounts in compliance with Florida Bar rules.
- Keeps funds separate, and maintains proper records to reduce compliance risks.
- Generate client invoices, track billable hours, and manage collections.
- Perform full-cycle bookkeeping including bank and credit card reconciliations, manage accounts payable, and handle TimeCO timeclock and send payroll for payroll company to run.
- Track client-related costs and maintain receipts for accurate billing.
- Generate monthly P&L and balance sheets for firm leadership.
- Post to clients account: postage and E-signature usage.
- Manage Agency Accounts (occasionally as needed): assist in incapacitated client bill pay, review of accounts, and coordination with care manager when attorney serves as power of attorney or Trustee.
Qualifications
- Proficiency in accounting software (e.g., QuickBooks Desktop, Excel, Word, Outlook).
- Experience with legal accounting, trust accounting, and IOLTA compliance (Preferred).
- Strong organizational skills and high attention to detail.
- Understanding of generally accepted accounting principles (GAAP).
- Knowledge of Florida legal billing procedures and trust account regulations.
