Job Summary

We are seeking a Billing Coordinator to join our Accounting and Finance Department at Sheppard, Mullin, Richter & Hampton LLP. This role serves 10 to 15 attorneys, managing full-cycle billing and providing support across multiple offices.

Essential Functions

  • Prepare invoices according to attorney and client billing guidelines, applying careful scrutiny to every line item.
  • Communicate effectively with attorneys and staff as the subject-matter expert in all billing matters, translating complex billing concepts into clear, actionable guidance.
  • Prepare ad-hoc reports with thoughtful analysis of financial and historical data, drawing conclusions that inform decision-making.
  • Resolve complex billing issues by collaborating with the Billing Attorney and clients, exercising sound judgment and creative problem-solving.
  • Respond to inquiries with both urgency and thoroughness, ensuring each response reflects careful thought.
  • Review invoices with meticulous attention, ensuring compliance with Firm policies and client billing guidelines while questioning anything that does not look right.
  • Prioritize and meet aggressive deadlines while handling a high volume of work without sacrificing quality or attention to detail.
  • Build, maintain, and deliver professional customer service and maintain positive working relationships with all internal and external contacts.

Required Qualifications

  • Minimum of 3 years of billing experience in a mid-to-large law firm environment.
  • Working knowledge of Aderant, Elite, or comparable legal billing software.
  • Strong proficiency in Microsoft Outlook, Word, and Excel.
  • Excellent written and verbal communication skills with the ability to convey complex billing information clearly and concisely.
  • Demonstrated ability to manage competing priorities, meet tight deadlines, and maintain composure under pressure.
  • Meticulous attention to detail and a personal standard that does not accept “close enough."

Preferred Qualifications

  • Experience with e-billing platforms such as BillBlast, Collaborati, CounselLink, Legal Tracker, or similar systems.
  • Bachelor’s Degree.
  • Strong analytical and problem-solving skills with the ability to interpret data and draw meaningful conclusions.

Computer/Software Knowledge

  • Aderant/CMS, Elite, or comparable legal billing software.
  • Microsoft Outlook, Word, and Excel.

Work Environment

Indoor professional office setting in a high-rise building. Based in one of our local Sheppard offices but allowed to work from home. Occasional overtime as workload demands during peak billing periods.

Compensation and Benefits

  • California: Salary range $36.00 - $46.00 per hour.
  • Illinois: Salary range $38.00 - $49.00 per hour.
  • This position is eligible for bonuses.
  • This position is also eligible for medical, vision, and dental insurance.
