About the Role
A fast-paced medical device distributor serving U.S. healthcare providers specializes in sourcing, logistics, and billing for surgical and diagnostic instruments. The team ensures accurate, compliant, and timely billing for thousands of transactions monthly—supporting hospitals, ASCs, and clinics nationwide. We’re scaling our back-office operations and need a meticulous, tech-savvy Billing Coordinator to own end-to-end revenue cycle accuracy from invoice to cash.
Responsibilities
- Process and reconcile customer invoices, credit memos, and payment applications across multiple ERPs and billing platforms.
- Resolve billing discrepancies, collaborate with sales and logistics to correct order mismatches, and ensure 100% AR accuracy.
- Generate and distribute monthly statements, follow up on past-due accounts, and maintain 95%+ collections rate for open AR.
- Audit and validate insurance reimbursements, adjust billed amounts, and escalate denials to finance for appeal.
- Support month-end close by reconciling billing reports, resolving variances, and documenting adjustments for audit trails.
- Automate repetitive tasks using Excel macros or billing system workflows to reduce manual errors and improve processing speed.
Requirements
- QuickBooks
- Salesforce (or similar CRM for order-to-cash)
- Microsoft Excel (VLOOKUP, pivot tables, macros)
- ERP systems (NetSuite, SAP, Oracle, etc.)
- Medical billing codes (CPT, HCPCS, ICD-10)
- Insurance adjudication workflows
- AR reconciliation
- Payment processing platforms (Stripe, PayPal, ACH)
Qualifications
- Experience in medical device or surgical supply billing (preferred)
- Familiarity with EDI 820/810 transactions (preferred)
- Certified Billing & Coding Specialist (CBCS) or equivalent (preferred)
