About the Role

The Billing Analyst performs contract and billing preparations for an engineering team. They coordinate with clients and Project/Program Managers to set up projects, obtain necessary purchase orders, and navigate billing approvals. The role involves close collaboration with the accounting team to finalize invoices and assist with completion.

Responsibilities

  • Obtains client purchase orders and sets up projects/phases to match client needs.
  • Performs monthly billing reconciliations.
  • Maintains the project database.
  • Prepares various reports for management, such as outstanding accounts receivables and collections.
  • Prepares invoices ensuring contract terms and fee schedules are met.
  • Troubleshoots billing problems and offers constructive solutions to billing inquiries.
  • Contacts clients regarding payments, billing options, account reconciliations, collections, and more.
  • Other duties as assigned.

Requirements

  • Bachelor’s degree in accounting, finance, or related field (preferred).
  • 3 years of relevant experience (required).
  • Architecture/Engineering/Construction or Professional Services industry experience (preferred).
  • Experience with Deltek Vision accounting software and Concur (preferred).
  • Knowledge of accounting functions and processes.
  • Advanced proficiency in Microsoft Office applications (Word, Excel, Access, PowerPoint).
  • Ability to interact with clients, upper management, and project managers.
  • Detail-oriented with an accounting background.
  • Excellent written and verbal communication skills.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple projects concurrently.
  • Flexibility and strong organizational skills.
  • Must demonstrate proficiency in all core competencies described in this job description.

Physical & Other Requirements

  • Prolonged periods of sitting or standing at a desk and working on a computer.
  • Ability to read, write, and communicate in English.
