About the role
The Electronic Visit Verification (EVV) Coordinator is responsible for the ongoing overview and maintenance of EVV data in compliance with State and Federal regulations. This role ensures the confirmation of visit data elements for timely and successful payroll processing, supports EVV education within the Care Center, and serves as the onsite EVV expert for all personnel. The EVV Coordinator collaborates with Scheduling to address Caregiver pay issues and EVV compliance, monitors system alerts, and manages data flow to ensure smooth transactions and proper configuration.
Responsibilities
- Coordinate and schedule caregiver assignments based on client needs, caregiver availability, and geographical considerations.
- Ensure appropriate matching of caregivers to clients, considering client preferences, language requirements, and specialized care needs.
- Monitor and update caregiver schedules to accommodate changes in client care plans or caregiver availability.
- Maintain open communication with caregivers to provide guidance, support, and address scheduling or client-related issues.
- Serve as the onsite EVV expert, supporting assigned Care Center(s) and providing EVV training to Care Center Staff, Field Staff, and New Hires.
- Assist users in setting up and configuring mobile applications on various smartphone platforms (iOS, Android, etc.).
- Conduct outreach to non-compliant individuals, determine the cause of noncompliance, and assist them in becoming compliant with State regulations.
- Support business acquisitions with EVV and system rollouts.
- Monitor and mitigate EVV system alerts and timesheet approvals to ensure compliance.
- Manage visit and data flow from Scheduler to EVV System and back, ensuring smooth transactions and proper configuration.
- Daily review and processing of non-EVV payroll paperwork, resolving issues with scheduling, field employees, and management to ensure correct payment of wages.
- Participate in the payroll call group, receiving and triaging calls to the Payroll Department.
- Support the Payroll Department with inquiries from employees and others regarding payroll, researching issues, and communicating findings in a timely manner.
- Provide support with internal and external audits, specializing in the extraction and explanation of EVV and non-EVV data.
- Assist in maintaining appropriate EVV compliance (85%+).
- Monitor the quality of care provided, conducting regular check-ins with clients and caregivers to ensure client satisfaction and address concerns.
- Serve as the main point of contact for clients, their families, and caregivers, providing exceptional customer service and addressing inquiries or concerns.
- Collaborate with healthcare professionals, social workers, and other stakeholders to coordinate care and ensure client well-being.
- Maintain regular communication with clients and families to provide updates, address changes in care needs, and foster positive relationships.
- Educate clients and families on available home care services, resources, and community support options.
- Maintain accurate and up-to-date client records, including care plans, contact information, and relevant documentation, ensuring compliance with legal and regulatory requirements.
- Assist in the coordination of caregiver training, orientation, and performance evaluations.
- Collaborate with the billing department to ensure accurate and timely invoicing for services rendered.
- On-call responsibilities (paid).

- Proven experience in a healthcare or home care coordination role preferred but not required; on-site job training will be provided.
- Familiarity with home care software and scheduling systems preferred but not required.
