About the role
The Bid Coordinator supports the development and submission of proposals by coordinating with cross-functional teams, managing timelines, and ensuring all bid documents are complete, accurate, and submitted by deadline. This is an on-site role (5 days per week).
Responsibilities
- Coordinate the end-to-end bid and proposal process
- Track deadlines, requirements, and submission schedules
- Gather information from internal teams such as sales, engineering, finance, legal, and operations
- Draft, format, and edit proposal content
- Ensure submissions meet customer requirements and compliance standards
- Maintain bid libraries, templates, and supporting documentation
- Organize review meetings and follow up on action items
- Submit final bid packages through customer portals or required channels
- Support post-submission activities, including clarifications and lessons learned
- Review tender documents, RFPs, RFQs, and ITTs
Requirements
- Bachelor’s degree in business, communications, marketing, or a related field, or equivalent experience
- Experience in bid coordination, proposal writing, sales support, or project coordination
- Strong written and verbal communication skills
- Excellent organization and time management
- High attention to detail
- Ability to manage multiple deadlines
- Proficiency with Microsoft Office, especially Word, Excel, and PowerPoint
- Experience with CRM, document management, or bid portal systems is a plus
Pay
Annual base salary range: $47,310.00 - $76,800.00 (hourly, incentive-eligible). Actual compensation will depend on factors such as seniority, merit, geographic location, education, experience, travel requirements, and union designation.
