About the role
The Benefits Coordinator role provides day-to-day, customer-focused support for benefit programs across the U.S., Canada, and Puerto Rico, including health and welfare, retirement, wellness, recognition, and leave programs.
Responsibilities
- Supports benefit enrollment, life events, employment status changes, invoices, compliance-related documentation, open enrollment, vendor file monitoring, and issue resolution with a strong focus on accuracy, confidentiality, and timely service.
- Helps plan recognition and wellness campaigns, develops engaging communications and materials, and supports education that reinforces the Total Rewards philosophy and a culture of wellbeing and recognition.
- Delivers customer-focused support to team members throughout the benefit enrollment process, life events and employment status changes, ensuring clear guidance and providing prompt, accurate resolution of benefit-related issues while maintaining a commitment to confidentiality.
- Completes benefits administration activities by following established policies, procedures, and standard work instructions, escalating non-routine issues to senior team members as appropriate.
- Collaborates with team members to coordinate recognition and wellness campaign planning, including timelines, communication calendars, event logistics, vendor coordination, participation tracking, and follow-up actions that encourage high team member engagement.
- Create and deliver engaging communications, marketing materials, recognition reminders, wellness campaign messages, educational sessions, training materials, and benefit resources that support the Total Rewards philosophy, address common questions, and reinforce a culture of wellbeing and recognition.
- Process benefit invoices, medical support orders, regulatory notices, and documentation requests in accordance with established timelines, procedures, and compliance requirements.
- Administers the company’s employee recognition program, ensuring accurate budget tracking, program execution, and quarterly/annual updates.
- Aid in annual open enrollment activities, including event planning and preparation, system testing support, audit review, team member communications, enrollment support and monitoring, and post-enrollment follow-up.
- Maintain awareness of benefit-related notifications, vendor file error reports and standard reporting to identify errors, resolve routine issues, improve response times, and support accurate and timely benefit administration.
- Review recurring issues, process gaps, and benefit administration trends to recommend improvements that enhance team member experience, improve data accuracy, and increase operational efficiency within established benefits processes.
Requirements
- Bachelor’s degree or equivalent experience
- Proficient in MS Office – Teams, Word, Outlook, Excel, and Power point
- Attention to detail, process execution and follow-through with excellent organization skills
- Ability to work independently and as a team member to fulfill all job duties in a collaborative virtual environment
- Strong customer service and responsiveness
Qualifications
- Good To Have:
- 2-3 years in benefits, leave of absence, retirement, or general human resources experience
- Campaign management and program communication experience
- Workday or other HCM experience
