About the role

The Benefits Administrator is responsible for the daily administration of employee benefit plans. This position acts as a liaison between employees and benefit providers, ensures compliance with all federal and state laws, and follows detailed procedures to maintain accuracy in documentation and data management. This role plays an integral part in helping employees understand company benefits.

Responsibilities

  • Administers employee benefit programs such as health, dental, vision, short- and long-term disability, life insurance, supplemental coverage policies, retirement, flexible spending accounts, and pet insurance.
  • Maintains confidentiality, ensuring information is handled discreetly and data is protected under HIPAA to meet industry compliance standards.
  • Educates employees about benefit options by providing excellent customer service, creating benefit guides, and delivering mass communications. Adapts presentations to suit different audiences.
  • Handles benefit inquiries and complaints to ensure quick, equitable, and courteous resolution.
  • Runs reports in the HCM system, reconciles benefit invoices, and submits payments monthly with approval.
  • Administers the service award program, fields questions, and resolves issues.
  • Processes payments for benefits premiums, such as for employees on leave of absence.
  • Works closely with auditors and payroll on the annual 401K audit, prepares and uploads documents, runs reports, and answers questions.
  • Administers general leave of absence and FMLA programs, tracks absences, communicates with managers, and coordinates with HR generalists.
  • Actively participates in the open enrollment process, including preparing announcement materials, reviewing benefits guides, arranging employee meetings, working with carriers on integrations, and setting up backend systems in the HCM.
  • Administers mandatory recordkeeping and reporting to comply with Affordable Care Act requirements.
  • Coordinates wellness events such as flu shot clinics and blood drives.
  • Assists department team members as needed and performs other HR-related duties as assigned by the HR Director.
  • Displays honest, trustworthy, and ethical behavior when dealing with internal and external customers.
  • Promotes a friendly group working environment and provides friendly, competent customer service.
  • Ensures regular, punctual, and dependable attendance.

Requirements

  • High School Diploma or equivalent required; Associate’s degree in business preferred.
  • One to three years of office experience, with a minimum of one year in benefits administration.
  • Previous Human Resources experience highly preferred.
  • Knowledge of federal, state, and local employment law and regulation.
  • Highly organized with a record of prioritizing multiple projects and meeting deadlines.
  • Detail-oriented with excellent analytical and problem-solving skills.
  • Proficient in Microsoft Office Suite.
  • Able to communicate in English.
  • Able and willing to deliver friendly, courteous, and prompt customer service.
  • Able and willing to work cooperatively with other team members.
