Responsibilities

  • Recruit and train office staff
  • Complete daily bank reconciliation, cash reports, and floor plan payoffs
  • Review and sign company checks
  • Perform weekly schedule reviews and work with office staff to maintain them
  • Collect NSF funds; turn over applicable items to legal counsel for collection
  • Formulate procedures for systematic retention, protection, retrieval, transfer, and disposal of records
  • Review documentation relating to the handling and processing of documents
  • Aid in month-end close procedures
  • Assist in completing annual/review/audit
  • Liaise with customers and outside vendors
  • Lend support to all department managers
  • Direct and coordinate payroll functions for multiple locations using Workday technology, including:
    • Ensuring payroll is processed and reconciled on time and accurately
    • Reconciling benefits for monthly invoices
    • Working with Human Resources to ensure new hires are in the system on time and accurately
    • Maintaining accurate cost centers for payroll costs and employee expenses
    • Handling various requests from IRS and other government agencies for compliance purposes
    • Issuing manual checks when needed
    • Creating reports as needed
    • Developing others in store locations to have expertise in payroll functions
    • Complying with internal and external reporting requirements in accordance with guidelines, format, and time frames requested
    • Reviewing reports with Managers and providing analysis as necessary
    • Implementing policies and procedures regarding the legal handling and processing of documents
    • Staying updated on current laws in relation to handling and processing documents by researching and reading relevant information and payroll changes from FLSA, ACA, and other regulators
    • Reviewing and auditing documents for completeness and accuracy

Requirements

  • 5 or more years of experience working in a franchise dealership business office
  • 2 or more years of experience in a supervisor or office manager role (preferred)
  • Advanced-level proficiency with Microsoft Office products including Excel
  • A thorough understanding of accounting principles
  • Experience with DMS systems such as ADP/Reynolds/Ignite (must)
  • High School diploma or equivalent (college degree preferred)
