Attendance and Leave of Absence Administrator
Leave Administration
Administer employee leaves; Family and Medical Leave Act (FMLA), Short-term and long-term disability (STD/LTD), Personal and company-specific leaves, Military and jury duty leave, Worker’s Compensation.
Review leave requests; determine eligibility based on company policies / applicable laws.
Track and monitor leave utilization, ensuring accurate documentation and compliance.
Ensure compliance with federal, state, and local leave laws (e.g., FMLA, ADA, HIPAA).
Maintain up-to-date knowledge of leave regulations and policy changes.
Serve as the primary point of contact for employees regarding leave questions and processes.
Provide guidance on leave options, documentation requirements, and return-to-work procedures.
Communicate leave approvals, denials, and status updates clearly and professionally.
Maintain accurate and confidential employee leave records.
Manage required documentation.
Ensure all records are stored in compliance with privacy regulations.
Work closely with HR, payroll, managers, and third-party administrators (TPAs).
Coordinate disability claims and benefits with insurance carriers.
Support accommodations and return-to-work plans.
Generate reports on leave trends, usage, and compliance metrics.
Identify opportunities to improve processes and enhance employee experience.
Aid with audits related to leave administration.
Attendance Administration
Completes daily maintenance/verification of timecard pay code application.
Completes full audit of weekly timecards with cross validation to Attendance and Leave of Absence Policy.
Manage and track discipline administration related to Attendance Policy violation.
Monitor Attendance system to ensure compliance from Leave standpoint.
Accurately enter and maintain tracking logs; regular auditing to ensure compliance.
Acts as first line contact for all attendance related inquiries for hourly field and Supervisory roles.
Generate and analyze recurring reports to identify patterns or policy compliance issues.
Works with field leadership to address issues and implement intervention plans to reduce turnover.
Prepare reporting for field Leadership on labor tracking and attendance records.
Reconciles and files attendance related field submittals.
Works directly with field Supervisors on accuracy and timeliness of all attendance and leave related items, including records.
Exercise discretion with corrections as needed.
Completes new hire training and development on Attendance processes and system acclimation.
Responsible for testing any changes needed within the Attendance and Leave of Absence HRIS systems.
Aids with Compliance and Reporting with Federal, State, and Local regulations.
Adheres to strict ethical guidelines and legal requirements; ensures all sensitive data is kept confidential.
Performs other duties, special assignments and analysis as required to accomplish role objectives.
Qualifications
- High proficiency in HRIS / payroll system data entry.
- Strong record keeping, organization skills, attention to detail.
- Excelled communication skills and commitment to ensuring confidentiality.
- Self-starter: must be able to set priorities and execute independently.
- Ability to handle multiple cases simultaneously in a fast-paced environment.
- Strong problem solving skills.
- Ability to utilize Microsoft Office; advanced excel knowledge preferred.
Education and Experience

- Minimum Training, Education, And Experience: Bachelor’s degree in Business Administration, Human Resources, or related field.
- 2 – 5+ years’ experience in payroll, leave administration, HR, or benefits administration.
- Must have experience collaborating with third-party leave service providers.
- Experience with employee Attendance Policy application and tracking.
Preferred Qualifications
- HR Certification (SHRM-CP, PHR).
- Preferred experience in Paylocity and/or UKG Pro.
