About the role

The incumbent independently oversees and coordinates athletic facilities, home game operations, and overall event support for the Department of Athletics. The position exercises judgment and discretion in the coordination of athletic home game operations, facility scheduling, event logistics, student assistant supervision, and operational policy development to support the mission and goals of the Athletics Department and the University.

Responsibilities

  • Coordinate and oversee the maintenance, scheduling, and operational readiness of intercollegiate athletic facilities and related equipment, including washers/dryers, basketball hoops, soccer goals, lighting, and other athletics-related resources.
  • Analyze and evaluate athletic facility operations and provide recommendations to Department of Athletics leadership regarding staffing, operational needs, and use of university resources.
  • Develop and implement operational policies and procedures related to athletic facilities and facility usage.
  • Develop, maintain, and manage the official Athletics facility calendar and facility reservation processes.
  • Coverage of facility usage with campus departments, Associated Students, Intramurals, Club Sports, external groups, and the public.
  • Schedule shared athletic facilities and classroom spaces utilizing 25Live and other calendars as indicated.
  • Maintain windscreens and related facility aesthetics across athletic venues.
  • Coordinate the reservation of campus rooms and event spaces on behalf of the department.
  • Procure and maintain gameday equipment and supplies, including nets, branded canopies, and related materials.
  • Monitor and help maintain safe, clean, and functional athletic venues through regular inspections and coordination with Facilities Planning and Management.
  • Obtain annual quotes and coordinate rentals for portable restrooms, bleachers, and related event infrastructure.
  • Coverage of coordination of athletic home game operations, facility scheduling, event logistics, student assistant supervision, and operational policy development.
  • Coordinate all setup, breakdown, and operational logistics for all home games and special events.
  • Coverage of athletics student assistant video/photo content team and conference video/stat broadcast operations.
  • Coverage of practice schedules, facility availability, home game ticketing operations, parking as well as complimentary ticket lists for athletic teams.
  • Development and implementation of policies and procedures related to athletic event and game management operations.
  • Coverage of preseason meetings with athletic programs to review game-day expectations, operational procedures, and staff responsibilities.
  • Coverage of recruitment, hiring, training, scheduling, and supervision of student assistants supporting facility and game management, ticket operations, concessions, laundry/equipment operations, and event support functions.
  • Coverage of Lead game management trainings and operational meetings and oversee student employee scheduling and timekeeping processes.
  • Coverage of Serve as a primary liaison with visiting teams and officials by providing campus access, parking permits, and event information.
  • Coverage of Preparation and distribution of game-day operational agendas and coordinate event logistics, including locker room access, facility security, officials’ accommodations, press row setup, and broadcast coordination in partnership with athletics communications staff.
  • Directly involved with the setup and scheduling of video and stats production for practices and home games.
  • This includes working with video service providers (e.g., PlaySight, Spiideo, Trackman, Hudl) and integration into in-venue video displays.
  • Development and implementation of policies and procedures related to video and stats production operations.
  • Assistance with the recruitment, hiring, training, scheduling, and supervision of student assistants supporting video and stats production for practice and games.

Requirements

Equivalent to a bachelor's degree in a related field and two years of relevant experience. Additional experience which demonstrates acquired and successfully applied knowledge and abilities shown above may be substituted for the required education on a year-for-year basis. An advanced degree in a related field may be substituted for the required experience on a year-for-year basis.

Specialized Skills: Experience coordinating athletic facilities, home game operations, and event logistics in a collegiate athletics or related environment. Ability to independently manage multiple priorities, coordinate complex schedules, and support athletic events and special programs with minimal supervision. Working knowledge of NCAA and conference rules, athletics operations, facility scheduling, ticketing, concessions, and event management procedures. Experience developing and implementing operational procedures related to athletic facilities and game management. Experience utilizing facility scheduling and event management systems such as 25Live and coordinating operational support services for practices, competitions, and special events. Experience recruiting, training, scheduling, and providing lead work direction to student assistants and temporary event staff. Knowledge of athletics video, livestream, and statistics platforms such as Hudl, Spiideo, PlaySight, Trackman, StatBroadcast, or similar systems. Strong organizational, communication, customer service, and problem-solving skills with the ability to effectively collaborate with campus departments, coaches, officials, vendors, and external partners. Ability to work evenings, weekends, and holidays in support of athletics competitions and events.
