ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintain HRIS data for lawyers worldwide; ensure data accuracy across all tools/systems
- Correspond with incoming lawyers; assist with pre-hire process and orientation, including coordination of file audit, background checks, conflicts checks, relocation matters, employment eligibility verification, office assignments, etc.
- Aid with administration for key career transitions, including bar admissions, leaves of absence, office transfers, departures, etc.
- Track law clerk and intern activity worldwide, from onboarding to offboarding
- Prepare materials for lawyer performance reviews and compensation process
- Manage lawyer life events, including sending gifts and coordinating donations
- Schedule and track lawyer photographs
- Provide office tours to lawyers and candidates
- Provide general administrative support to department, including attendance tracking, employment verification letters, expense reconciliation, file maintenance, bar audits, Office Manual updates, etc.
- Aid with ad hoc initiatives across the Legal Talent Office, including recruiting and summer program logistics, lawyer trainings, diversity events and other related programming
- In addition, responsibilities related to maintaining firm and client information are to be adhered to by all employees. This includes complying with the firm’s information security policies, protecting firm assets from unauthorized access, disclosure, modification, destruction or interference, and reporting security events or potential events or other security risks to management.
QUALIFICATIONS
- Strong project management, organizational, problem-solving and analytical skills, with attention to detail and ability to multi-task
- Excellent interpersonal, oral communication and written communication skills; professional, service-oriented demeanor
- Strong technical skills in Word, Excel and PowerPoint; knowledge of PeopleSoft or other HRIS system a plus
- Ability to work effectively with lawyers, staff and vendors at all levels to successfully implement initiatives
- Ability to work independently, meet multiple deadlines and respond well to change or ambiguity
EDUCATION AND/OR EXPERIENCE
- Bachelor’s degree required
- Experience in a professional environment preferred
