Assistant Athletic Director

Essential Functions

  • Aid the Athletic Director in coordinating and supporting all athletic programs, events, and activities.
  • Plan, organize, and oversee game-day operations, including scheduling event staff, securing officials, coordinating ticketing, and ensuring facilities are prepared for competitions.
  • Cover athletic events, including public address announcements, livestreaming, photography, social media content, and communication with local media outlets.
  • Schedule athletic contests, practices, transportation, facility use, and special events.
  • Administer on-site at athletic events, providing supervision and ensuring compliance with school, conference, and IHSAA expectations.
  • Communicate with student-athletes, coaches, and families about schedules, eligibility requirements, athletic procedures, and event information.
  • Maintain student-athlete eligibility and record participation data.
  • Coordinate athletic department communications, including website updates, social media platforms, digital signage, promotional materials, and event marketing.
  • Support athletic recognition programs, awards ceremonies, senior nights, signing events, hall of fame activities, and other special events.
  • Manage athletic records, statistics, rosters, participation data, and historical accomplishments.
  • Collect and organize required student-athlete documentation, including physicals, consent forms, and compliance-related records.
  • Collaborate with coaches, maintenance staff, custodial staff, transportation personnel, and school administrators to ensure efficient and safe athletic events.
  • Support sponsorship initiatives, community partnerships, and booster club activities that support athletic programs.
  • Assist with budget tracking, purchasing, inventory management, and equipment coordination.
  • Ensure athletic facilities are properly prepared before and after events and report facility, equipment, or safety concerns.
  • Stay informed of applicable IHSAA, conference, and school regulations and assist in ensuring compliance.
  • Build positive relationships with students, families, staff, community members, and visiting schools to promote a positive athletic experience.
  • Supervise student supervision and administration of extracurricular activities and ensure compliance with security procedures.

Qualifications

  • A bachelor's degree preferred.
  • Previous experience in athletics, education, event management, communications, or related fields preferred.
  • Successful coaching or event coordination experience preferred.
  • First Aid and CPR certification or ability to obtain certification.
  • Strong organizational, communication, and interpersonal skills.
  • Demonstrated ability to manage multiple projects and deadlines simultaneously.
  • Experience with social media, event promotion, and digital communication platforms preferred.
  • Ability to work collaboratively with students, staff, families, and community partners.
  • Strong attention to detail and problem-solving skills.

Physical Demands

  • Sit and communicate effectively, including talking and hearing.
  • Frequent hand use to handle, operate, or manipulate objects, tools, or controls.
  • Occasional lifting and/or moving of objects up to 25 pounds.
