AI Solutions Lead
About the role
BioMed Realty is seeking an AI Solutions Lead to serve as the organization’s dedicated resource for the evaluation, deployment, and ongoing oversight of artificial intelligence tools across all business functions. This is a cross-functional, individual contributor role that bridges technology and operations, translating AI capability into practical, compliant, and measurable business value.
Responsibilities
- Maintain a current inventory of all AI tools and agentic workflows deployed across the organization, including vendor, use case, data inputs, business owner, and deployment date.
- Define and track key performance indicators for each deployed AI tool, time saved, error rate, adoption rate, cost per transaction and report findings to CTO on a regular cadence.
- Monitor AI outputs on an ongoing basis to detect performance degradation, model drift, hallucinations, or systematic errors; escalate material issues and coordinate remediation with vendors and affected departments.
- Conduct periodic reviews of deployed tools against evolving alternatives, recommending upgrades, replacements, or discontinuation as appropriate.
- Maintain documentation of prompts, configurations, exceptions, and change history for all deployed AI tools to support audit and compliance review.
- Continuously monitor the AI tool landscape, including CRE-specific platforms, horizontal agentic frameworks, and ERP-embedded AI capabilities to identify emerging solutions relevant to BioMed’s operations.
- Develop and apply a standardized evaluation framework for new AI tools, assessing capability, data security posture, integration readiness, vendor stability, pricing, and contractual risk.
- Lead proof-of-concept and pilot engagements, defining success criteria, managing timelines, coordinating participating departments, and producing go/no-go recommendations.
- Build and maintain relationships with AI vendors, attend industry conferences and demonstrations, and serve as the organization’s primary point of contact for inbound vendor inquiries related to AI.
- Prepare concise evaluation summaries and business cases for leadership review, clearly articulating expected ROI, implementation effort, and risk.
- Partner with department heads and functional leads across Accounting, Property Management & Operations, Asset Management, Legal, Leasing, HR, and IT to identify AI use cases, prioritize opportunities, and design AI-assisted workflows.
- Translate business requirements into AI tool configurations, prompt design, or workflow specifications, coordinating with vendors or internal IT for implementation.
- Serve as the internal subject matter expert and first point of escalation when department-level users encounter AI tool issues or performance concerns.
- Maintain BioMed’s internal AI roadmap, aligning near-term deployments with longer-term organizational strategy and technology infrastructure.
- Design and deliver role-specific AI training programs for each department, including onboarding for new tools, refresher training after material updates, and introductory sessions for new hires.
- Develop training materials including written guides, workflow diagrams, video walkthroughs, and quick-reference cards tailored to non-technical end users.
- Champion responsible AI use across the organization, helping staff understand both the value and the limitations of the tools they are using, including when human judgment must override an AI output.
- Gather and synthesize user feedback on deployed tools; use adoption data and qualitative input to improve training, configurations, and prioritization of new features.
- Establish and manage an internal AI user community or working group to facilitate cross-departmental knowledge sharing and surface new use case ideas.
- Partner with Legal and Compliance to develop, maintain, and enforce BioMed’s AI use policy, including acceptable use guidelines, data classification rules, and vendor approval requirements.
- Review vendor AI contracts and data processing agreements for provisions relevant to data security, model training on customer inputs, intellectual property, liability, and audit rights; escalate material concerns to Legal.
- Maintain awareness of applicable AI regulations, data privacy laws (CCPA, GDPR where relevant) and emerging state and federal AI legislation; proactively assess implications for BioMed’s deployed tools.
- Ensure that AI tools touching financial reporting, lease accounting, or other relevant processes are documented within the internal control framework and reviewed by internal audit on an appropriate cycle.
- Maintain records of AI-related risk assessments, compliance reviews, and vendor security evaluations sufficient to support internal audit, external audit, and regulatory inquiry.
- Flag any AI tool or use pattern that presents unacceptable risk, including confidential data exposure, unsanctioned automation of material transactions, or conflict with tenant or vendor contractual obligations and lead the remediation process.
Requirements
Bachelor’s degree in Business, Finance, Information Systems, or a related field; or equivalent combination of education and experience. 5+ years of professional experience in a business analyst, operations, finance, or technology role (3 years recent experience with AI related tools and technology) and demonstrated familiarity with AI tools in a professional context.
Strong working knowledge of generative AI platforms (e.g., Microsoft Copilot, Claude, ChatGPT Enterprise) and agentic or automation tools (e.g., UiPath, Copilot Studio, Zapier, Make).
Excellent written and verbal communication skills, with the ability to translate complex AI concepts for non-technical audiences across all seniority levels.
Strong project management and organizational skills; comfortable managing multiple concurrent workstreams across different departments.
High degree of professional judgment and discretion in handling confidential financial, tenant, and personnel data.
Familiarity with commercial real estate, REIT operations, property management, or a related industry; familiarity with MRI, Argus, or similar CRE platforms.
Familiarity with accounting and finance workflows, AP, month-end close, lease accounting, financial reporting and the role of AI in those processes.
Understanding of data privacy law (CCPA), contract fundamentals, and GDPR internal control frameworks as they relate to AI-assisted processes.
Experience designing and delivering end-user training programs; instructional design or change management background a plus.
Familiarity with AI governance frameworks (NIST AI RMF, ISO 42001) and responsible AI principles.
Relevant certifications in AI, data analytics, or project management (e.g., Microsoft AI-900, Google AI Essentials, PMP) are a plus.
