Responsibilities

  • Provide advanced, diversified, and confidential administrative support to the East Region President and regional leadership team, requiring broad experience and knowledge of organizational policies.
  • Manage calendars, schedule meetings, and coordinate travel planning.
  • Handle copying, collating, binding, and desktop publishing tasks.
  • Create and edit reports, presentations, and proposals.
  • Plan, coordinate, and administer small and large events.
  • Maintain and organize paper and electronic files.
  • Coordinate web and video conferences.
  • Create and manage expense reports.
  • Compose letters, emails, and other correspondence as needed.
  • Manage mail, phone lists, process invoices, set up vendors, and prepare new hire workstations.
  • Perform HR responsibilities, including:
    • Opening requisitions and conducting background checks.
    • Maintaining organization charts and talent analysis documents.
    • Managing employee files and conducting new hire orientations.
    • Setting up new hires, completing necessary paperwork, and preparing on-board plans.
    • Conducting exit interviews when needed.

Requirements

  • College degree preferred with 5-7 years’ experience supporting executives.
  • Experience in real estate, commercial, property management, construction, or home building industry is a plus but not required.
  • Office management experience preferred.
  • Advanced technical skills with Microsoft Office tools (Word, PowerPoint, Excel, Outlook); Visio is a plus.
  • Strong experience developing processes, procedures, and process flow documents.
  • Exemplary written and verbal communication skills.
  • Superior organization and project management skills.
  • Ability to maintain confidential and proprietary information.
  • Ability to work independently, think critically, and exercise delegated decision-making.
  • Proactive—anticipates needs and takes action.
  • Flexible—able to excel in a fast-paced environment with changing priorities.
