Administrative Secretary - Horizonte
Two vacancies: Administrative Secretary for Youth and Administrative Secretary for Adult Education, both located at Horizonte. Full-time contract position (1.0 FTE, 40 hours per week, 201 days/10 months). Non-exempt FLSA status; reports to Principal or designee. Starting wage: $36,321 annually (Schedule/Lane 48/M). Eligible for benefits. Anticipated start date: 09/11/2026.
About the role
The Administrative Secretary provides complex and confidential administrative and secretarial support to an assigned administrator, ensures effective communication with parents, students, and administration, oversees department functions and procedures, manages site programs and activities, and ensures efficient implementation of assigned functions.
Responsibilities
- Communicate effectively with diverse individuals and groups while maintaining confidentiality and building positive working relationships.
- Compile data from various sources to prepare reports, make recommendations, and provide information for the assigned supervisor/administrator.
- Support office operations and academic processes (e.g., attendance and registration, monitor secure entrances and exits, monitor cameras).
- Create and maintain manual and electronic documents, files, and records (e.g., student data, attendance records, Title I documentation, student enrollment records) to provide up-to-date information and historical reference.
- Fulfill daily office processes for efficient site operation (e.g., daily reports, answer phones, greet visitors).
- Create and maintain accurate records, including confidential files.
- Participate in meetings, workshops, and seminars to convey or gather information required for job functions.
- Prepare a wide variety of reports, documents, and correspondence (e.g., letters, memorandums, academic forms, periodic and ad-hoc reports, operational procedures, manuals).
- Process documents and materials (e.g., student registration, attendance, Title I and other academic processes) to disseminate information and ensure compliance.
- Research topics (e.g., current practices, policies, enrollment and attendance processes) to provide information and recommendations.
- Respond to inquiries from internal and external parties (e.g., administration, faculty, parents, State of Utah) to provide information and direction.
- Schedule and assist in preparing activities (e.g., appointments, meetings, seminars, welcoming new staff).
- Support a team environment by collaborating with other work units.
- Work under limited supervision, utilizing time-management and prioritization strategies while meeting deadlines.
- Adapt to changing work priorities and frequent interruptions.
- Perform other related duties as assigned to ensure efficient functioning of the work unit.
- Maintain regular and predictable attendance.
Requirements
- High school diploma or equivalent.
- Two years' experience working as a secretary or administrative assistant.
- Basic experience and proficiency using Microsoft Office Suite (Word, Excel, PowerPoint, Access) and data-based software.
- Ability to speak, read, write, present professionally, analyze, understand, and interpret written and verbal communications in English.
- Experience operating standard office equipment (phone, scanner, fax, copy machines).
- Must pass a criminal background check and be fingerprinted.
Preferred Qualifications
- Experience using PowerSchool, Business Plus, and Kronos.
- Experience performing standard bookkeeping.
- Experience maintaining a website.
- Experience taking meeting minutes.
- Spanish or other language proficiency (ability to read, write, speak, and understand).
