About the role

The Administrative Secretary I provides support service and routine administrative functions for a particular office, service unit or service programs. The Administrative Secretary I works under the direct supervision of a Vice President/Division Director, Program Coordinator/Supervisor or Administrative Secretary II as assigned. The Administrative Secretary I must demonstrate a strong sense of responsibility and personal competency and be able to carry out tasks and responsibilities independently. The individual must be able to work successfully with other staff as well as with clients and other individuals to whom the program relates. The individual is expected to maintain good standards for office and personal appearance, work performance, confidentiality, safety, and similar work matters. The Administrative Secretary I must be able to conform to a flexible work schedule when required by office needs.

Responsibilities

  • Work closely with other team members to manage schedules for medical doctors and Advanced Practice Nurses (APNs) in a fast-paced environment.
  • Manage schedules for the medical staff.
  • Working Schedule: Monday - Thursday 1:00pm - 9:00pm and Fridays 9:00am - 5:00pm.
  • Perform routine administrative tasks including reception, scheduling, intake, collection, and reporting of fees, tracking projects, word processing, typing, reproduction, filing and phone coverage for a particular Division or Program.
  • Independently prepares routine correspondence for Supervisor and/or Division Director.
  • Independently reviews and evaluates job-related activities and processes and develops procedures to enhance productivity.
  • If assigned, Administrative Secretary I will maintain, disburse, and keep record for the office petty cash system.
  • Provides periodic reports or statistics on office program activities as required.
  • Works with other Administrative Support Personnel to ensure communication and support task coverage as assigned by Supervisor.
  • Schedules and attends meetings. Accurately prepares agendas for meetings, and records, types, and distributes minutes of the meetings.
  • Maintains professional decorum and judgment. Adheres to Agency policies and procedures relating to confidentiality of staff and client information.
  • Independently monitors the status of projects assigned. Independently provides Supervisor with updated information related to assigned projects.

Requirements

  • High School Diploma or equivalent; three previous years' experience, one of which at Administrative I level; knowledge of word processing and routine secretarial tasks.
  • PREFERRED QUALIFICATIONS: Above qualifications plus certificate from a recognized Business or Secretarial School.
