Join a mission-driven community dedicated to equity, dignity, and opportunity for all. As an Administrative Receptionist, you will provide telephone coverage, reception, and clerical assistance, directly contributing to our mission of reducing the impacts of poverty in our community.
Responsibilities
- Answer multi-line telephones in a positive, timely manner; provide basic program information, screen and transfer calls, and take thorough messages.
- Greet visitors, provide friendly and informative service, and connect them with appropriate programs or staff.
- Process incoming and outgoing agency mail, including using postage meters and distributing correspondence promptly.
- Provide clerical support, including typing, photocopying, and maintaining administrative supplies.
- Log and secure stamps, vouchers, gift cards, bus passes, and A/P checks; distribute paychecks according to procedures.
- De-escalate visitor complaints or emergencies; contact 911 and use emergency alert systems as needed.
- Follow HR procedures for new staff orientation, event planning, and conference room bookings.
- Administer the volunteer registration process, including submitting and tracking background checks.
- Rotate kitchen duty (clean-up and coffee-making) with other programs in the Main Office.
- Comply with MWVCAA safety and personnel policies, including punctuality and attendance.
Requirements
- High school diploma or GED.
- One year of office/clerical experience (or equivalent combination of education and experience).
- Must pass a comprehensive MWVCAA background screening and pre-employment/random drug/alcohol screenings.
- Successful registration with the Central Background Registry of the Child Care Division.
- Bilingual English-Spanish skills (must pass a bilingual exam demonstrating fluent speaking, reading, and writing).
Skills
- Tact, diplomacy, and empathy in communication with clients, staff, and community partners.
- Proficiency in Microsoft Word, Excel, Outlook, database software, and web tools.
- Strong interpersonal and written/oral communication skills.
