About the role

The Administrative Program Support 1 provides vital administrative and operational assistance to a department, ensuring smooth coordination of faculty and departmental activities.

Responsibilities

  • Process faculty appointments by gathering personnel data, transcripts, and verification documents.
  • Maintain and update the faculty database using Excel.
  • Create and distribute faculty biographies for website updates and newsletters.
  • Contact faculty to collect goals, achievements, CVs, and productivity information.
  • Prepare faculty evaluations and assist with promotion processes.
  • Develop PowerPoint presentations for meetings and conferences.
  • Arrange travel for interviews, process reimbursements, and coordinate scheduling.
  • Maintain minutes of departmental meetings and manage departmental calendars.
  • Handle incoming mail, calls, and work order requests.
  • Support the Faculty Lounge and conference room scheduling.
  • Perform additional duties as assigned.

Qualifications

  • High School Diploma or GED required; transcripts needed.
  • Four years of administrative experience, or an Associate’s Degree with two years of experience, or a Bachelor's Degree.
  • Strong customer service, computer, communication, and multitasking skills.
  • Ability to work independently with professionals.
