Administrative & Program Coordinator
Mequon-Thiensville Community Foundation (MTCF) strengthens the community by supporting impactful municipal, parks and recreation, and historical initiatives. Since our founding in 1999, MTCF has awarded more than $1.7 million in lifetime grants, helping bring meaningful projects to life—including the Spirit Lake Connector Trail, support for the Mequon Police Department K9 Unit, and preservation efforts at the Jonathan Clark House.
About the role
This part-time, mission-driven role offers the opportunity to contribute directly to visible, high-impact community projects and help advance MTCF’s commitment to serving Mequon and Thiensville. The position reports to the Executive Director and provides organizational, administrative, and project support across key Foundation activities, including grantmaking, events, and committee operations.
Responsibilities
- Provide administrative support to the Executive Director, including mailings, project assistance, and expense report preparation. (25-30 hours per year)
- Coordinate Grants Committee meetings, prepare agendas and materials, record minutes, and maintain organized grant files. (20 hours per year)
- Support the Pillars of the Community (POTC) event through sponsor tracking, event material preparation, meeting participation, and logistics coordination; optional day-of-event assistance. (30-40 hours per year)
- Schedule Board and Advisory Board meetings, prepare agendas and minutes, assemble meeting materials, and provide administrative support to additional committees as needed. (60 hours per year)
Requirements
- Strong organizational and time management skills
- Attention to detail and ability to manage multiple projects simultaneously
- Proficiency in Microsoft Office 365 and Google Drive
- Excellent written and verbal communication skills
- Experience with meeting coordination, minutes, and event support preferred
- Previous experience in nonprofit organizations is not required
Employment Environment
- Work from home on your own schedule
- 8-10 in-person meetings/events per year
- 110-150 hours per year, with the majority of work occurring from late August to mid-June
- Flexible work hours
- Independent Contractor, ongoing
