Roles and Responsibilities
- Manages and maintains the PM’s calendar and all scheduling in real-time preventing conflicts
- Prioritizing emails and phone calls, gathering documents to prepare for meetings, and taking meeting minutes
- Helps manage the day-to-day production on specific projects to help the team meet deadlines accurately
- Effectively filters and coordinates internal and external requests
- Provides general support to visitors
- Develops and maintains a filing system, types, copies, scans, binds, etc.
- Maintains contact lists
- Handles confidential information with absolute discretion
- Supports reception during breaks, days off, or sick days
Minimum Requirements
- A High School Diploma or equivalency
- Minimum three years of administrative support experience, preferably in the A/E industry
- Excellent written and verbal communication skills
- A strong desire to excel in a fast-paced, challenging, and client-focused environment
- Strong organizational skills
- The ability to interact with senior management, external client organizations, and vendors on a professional level
- Proficiency in Microsoft Office (Word, Excel)
- Knowledge of Bluebeam Revu and Adobe is a plus
- Experience with various technology platforms such as SharePoint, GoToMeetings, or Zoom
- Bilingual - English & Spanish is preferred
