About the role
The Administrative Manager supports the General Manager with all Human Resources, Financial and Payroll responsibilities. We are seeking customer service-oriented professionals.
Responsibilities
- Full-cycle recruiting responsibilities including reviewing new applications, scheduling & hosting interviews, and hiring candidates through the Application Tracking System – Jobvite
- Create and maintain employee files - complete all new hire EEO/AAP documents and onboarding paperwork
- Manage driver & staff payroll and leaves of absence, including, employee FMLA tracking
- Educate employees on benefits provided
- Quality Assurance Checks ensuring compliance with background checks, drug and alcohol screens, and E-Verify requirements
- Support employees with internal and external transfer requests and procedures
- Maintain daily and monthly operational reports for services provided, Fixed Route, ZIPS Paratransit, Micro Transit
- Maintain daily operational data for monthly invoicing
- Complete invoicing process monthly
- Payroll data entry, payroll processing and reconciliation
- Maintain personal data and records
- Farebox counting, bank deposits and reconciliation
- Fare card sales, invoicing, bank deposits and reconciliation
- Aid with preparation of monthly and annual financial reports
- Aid for cost analysis in collective bargaining
- Type, prepare, and maintain all union negotiation proposals
- Serve as “Confidential “staff member” to GM
- Human resources functions such as ensuring adherence to personnel budgets during hiring and other budget-related tasks
- Other duties as required
Qualifications
- Experience In Payroll Entry And Reconciliation
- Experience in Human Resources
- Experience in accrual-based accounting
- Experience in financial analysis
- Experience in MS Office, Excel required
- Experience in data reconciliation required
- Good communication skills
Physical Requirements
- Work outside in varying temperature, weather, and humidity conditions-100% of the job is performed outside, work alone and in remote locations
- Sit for extended periods (up to 6–8 hours per day); frequently walk for long distances and on possible sloped ground or slippery and uneven surfaces
- Push and pull objects up to 5pounds, occasionally throughout the workday; lift material weighing up to 5 lbs. with or without assistance; occasionally bend, kneel, or crouch to files or equipment stored at ground level
- Withstand heavy traffic areas while performing the duties of the job; tolerate exposure to considerable amounts of dust, vehicle fumes and noise
