Responsibilities

  • Oversee daily office procedures, manage office supply inventory and coordinate ordering with the Operations Manager, maintain a clean and professional conference room environment, and assist with occasional light cleaning.
  • Serve as the central point of contact for employees, vendors, and clients, helping ensure clear communication, efficient operations, and a seamless day-to-day experience.
  • Manage calendars, schedule meetings and appointments, and support coordination of internal events, meetings, or special projects as needed.
  • Prepare, format, and distribute reports, presentations, and correspondence. Maintain organized physical and digital filing systems, ensuring all information is accurate, secure, and easily accessible.
  • Assist with light bookkeeping tasks, including processing invoices, tracking expenses, and supporting budget-related activities.
  • Evaluate current administrative processes and recommend improvements to increase efficiency and productivity across office operations.

Requirements

  • You have a high school diploma or equivalent; an associate or bachelor’s degree in business administration or a related field is preferred.
  • You bring 2–4 years of experience in an administrative, office management, or project coordination role. Experience within a CPA firm or similar professional services environment is a strong plus.
  • You are highly proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable using office equipment, communication platforms such as Zoom or Teams, and databases or CRM tools like SharePoint or Smartsheet.
  • You demonstrate strong organizational, time management, and multitasking abilities. You communicate clearly and professionally, maintain a high level of attention to detail, and handle confidential information with discretion.

Qualifications

  • You are a U.S. citizen, U.S. permanent resident, or possess other unrestricted U.S. work authorization and will not require sponsorship for U.S. work authorization now or anytime in the future.
