Mitchell Hamline School of Law is seeking an Administrative Coordinator for the Student Services department. This position will serve as the first point of contact for students, faculty, and staff seeking assistance and provide administrative support to the department.
About the role
In collaboration with key constituencies, this position will be responsible for event planning and coordinating the logistics of student services as directed by the Dean of Students.
Responsibilities
- Serve as a first point of contact for students, faculty, and staff seeking assistance from the Student Services department.
- Communicate policies and procedures.
- Respond to requests for information and manage the Student Services inbox.
- Provide service to department constituents, including directing them to appropriate internal resources or referring them to other departments.
- Assist with student communications, including docket, website, student portal, and Campus Connect announcements.
- Event planning and execution:
- Assist with logistics for key events, including in-person Preparation and Capstone sessions, Week 1 (Formation Week), Commencement and related receptions, and Student Organization events.
- Support administration of exams, including midterms, finals, and other assessments.
- Coordinate the administrative functions of the department, including:
- Supporting the Program Coordinator with Student Bar Association and Student Organization administrative needs.
- Recommending and documenting departmental procedures.
- Maintaining department files, whether paper or electronic.
- Providing word-processing support and assisting in the development and dissemination of various communications.
- Maintain a clean and organized department, ensuring resources and materials are stocked and replenished.
- Order office supplies as needed or as requested and coordinate purchase requests.
- Provide word-processing and other electronic media support.
- Schedule and maintain calendars, pre-screen appointments, and handle routine and complex correspondence.
- Maintain files and records.
- Provide project assistance as requested.
- Attend school-wide staff meetings and serve on school-wide committees as appropriate.
- Perform other duties as assigned.
Requirements
- Strong communication skills, including oral, active listening, and written.
- Strong organizational skills and ability to multi-task.
- Ability to exercise a moderate to high degree of independent judgment.
- Strong project management skills, including handling multiple projects simultaneously and within established time constraints.
- Proficiency with personal computers and software, including:
- Basic Windows
- Intermediate spreadsheet, word-processing, and presentation skills
- Intermediate calendar systems, email, and internet
- Strong customer service skills and ability to interact with a wide variety of individuals.
- Ability to create a welcoming and belonging environment.
- Close attention to detail.
Qualifications
- Minimum Qualifications:
- Associate's degree and a minimum of three years' experience working in an administrative support role.
- Or an equivalent combination of education and experience.
- Preferred Qualifications:
- Event and/or meeting planning experience.
- Associate's degree in Business, Office Management, or a related field.
- Additional years of relevant experience, higher education, or similar preferred.
- Bachelor's degree obtained through a formal four-year program.
Pay
The anticipated pay range for this position is $22.00 - $28.00 hourly, depending on qualifications and experience.
